About The Position

Insomniac is seeking a Seasonal Travel Coordinator to offer administrative assistance for their festival travel operations. This position requires excellent organizational skills, a keen eye for detail, and the ability to perform under pressure, often managing multiple travel schedules concurrently. Travel Coordinators are crucial for ensuring a smooth travel experience while adhering to company policies, budget limitations, and traveler preferences. They act as the primary contact for all travel-related issues, ensuring efficient logistics management and traveler support throughout their journey. This role reports to the Project Manager, Travel and is not a remote position.

Requirements

  • 2+ years experience in administrative tasks.
  • Must be competent in problem-solving issues related to mobile devices as well as Mac and PCs.
  • Must be proficient in Microsoft and Google operating systems
  • Must have strong communication skills, both verbal and written.
  • Must be able to think through, evaluate and solve problems logically and efficiently.
  • Must have exceptional organizational skills and meticulous attention to detail.
  • Must conduct all matters and communications in a professional and courteous manner as a representative of the company.
  • Must be motivated with an “Everything is possible” attitude.
  • Must be an active problem solver, instilled with a sense of urgency for projects large and small.
  • Applicants for employment in the U.S. must possess work authorization, which does not require sponsorship by Insomniac for a visa.

Responsibilities

  • Maintain, file, and organize office and festival paperwork.
  • Aid in the travel planning and approval process.
  • Support Accounting activities (credit card authorizations, reconciliation reports, etc…)
  • Support communications between Insomniac and 3rd party travel vendors.
  • Provide support for the online booking tool to end users
  • Create and maintain files per show for all travel needs/moves.
  • Be the secondary point of contact for all travel inquiries
  • Support vendor relations
  • Maintain relations with departments to ensure travel needs are met
  • Support data analysis for travel history and reports
  • Train and provide support in onboarding team members, clients, vendors and partners when needed
  • All other projects and initiatives as identified
