About The Position

The Seasonal Events Assistant will play a crucial role in supporting the preparation, execution, and cleanup of events at Community First! Village, including our biggest event of the year, Village of Lights. This position supports various event-related tasks and on-site needs, ensuring a smooth and enjoyable experience for all attendees, volunteers, and staff. The ideal candidate is detail-oriented, a team player, and able to manage multiple tasks simultaneously. This is a temporary full-time, non-exempt position running from September through January and reporting to the Events & Hospitality Manager. Due to the nature and requirements of the position, hours are flexible to fit need, but typically include 9 am – 5 pm Monday-Friday. Some nights and weekends will be required. The candidate must be available to work on the following days: September 18-19, December 3-5, and December 11-12. The Seasonal Events Assistant will office at Community First! Village located at 9116 Hog Eye Road, Austin, TX 78724.

Requirements

  • Commitment to serving those who have experienced homelessness and personal alignment with MLF's vision, mission, core values, and goals.
  • Strong organizational skills with the ability to manage multiple tasks
  • Detail-oriented with a focus on ensuring smooth event logistics
  • Ability to work both independently and collaboratively with a team
  • Excellent communication skills, both written and oral
  • Proficient in the use of technology, including Microsoft Office Suite and Asana
  • Must have a valid driver's license

Nice To Haves

  • Previous experience with event support preferred but not required

Responsibilities

  • Temporarily join the MLF team from September through January
  • Regular day-of assistance with onsite events, including setting up and tearing down food, tables, chairs, trash, etc.
  • Promotional work for Community Cinema Events – Mailchimp, Eventbrite, social media, Canva design, event calendars, etc.
  • Research venues and vendors for upcoming events
  • Lead volunteer groups in various event specific tasks
  • Assist with various Village of Lights and other large event-related tasks.
  • Create and manage QR codes for event use
  • Conduct an inventory of event décor and supplies and organize them on a regular basis (e.g., traffic vests, light wands, fire pit supplies, etc.)
  • Assemble supplies for both volunteers and staff
  • Help create and put up signage around the event site
  • Organize and steward shared event spaces
  • Charge and prepare essential event tech equipment (walkie-talkies, iPads, etc.).
  • Learn Asana (task management software) and assist in managing various event boards
  • Perform administrative tasks as needed to support event coordination.
  • Aid in post-event tasks, including inventory, cleanup, and storage of event materials.
  • Other duties & responsibilities as needed
