About The Position

Perform administrative support duties to ensure the smooth and efficient operation of the school. This role serves as a liaison between the school, staff, parents, and community, assuring the smooth and efficient operation of the front office. The School Secretary I will also serve as secretary to the principal, composing routine correspondence, preparing and typing communications and meeting minutes, scheduling appointments, and handling mail. Responsibilities include collecting, compiling, organizing, and recording data related to personnel, payroll, and equipment, as well as managing purchase orders, invoices, and accounts payable and receivable. The position requires prompt and regular attendance and involves working with the public, parents, and children in a typical office environment.

Requirements

  • High school diploma or GED Certificate.
  • Keyboarding, telephone and filing skills.
  • Excellent Problem-Solving skills.
  • Excellent oral, written and interpersonal communication skills.
  • Ability to handle and complete multiple tasks simultaneously.
  • Must meet the requirements of a criminal record checks as specified by Kentucky state law.
  • Proficiency in a variety of computer software programs including Microsoft Office, google, etc.
  • A minimum of 3-year experience in an office setting as a secretary, administrative assistant, office manager, or comparable position.

Responsibilities

  • Serve as a liaison between the school, staff, parents, and community.

  • Receive, screen and route incoming calls; take messages, as necessary, for the principal.
  • Establish and maintain appropriate filing systems, including but not limited to files for pertinent school correspondence, fund-raising, purchase request, red book items, maintenance information and the annual schedule of events.
  • Sort and distribute incoming mail and packages.
  • Perform other professional duties and responsibilities as assigned by the principal.
  • Serve as secretary to the principal; compose routine correspondence independently; prepare, type and distribute communications and minutes of meetings; schedule appointments and meetings as requested; receive, open and route mail.
  • Collect, compile, organize and record a variety of data related to: personnel, payroll, equipment; prepare and maintain related records, files and logs.
  • Provide coverage at the receptionist desk.
  • Responsible for purchase orders, invoices, ordering, and other processes related to accounts payable and receivable.
  • Reports to work promptly and on a regular basis.
