About The Position

Academies of Math and Science (AMS) is seeking a highly organized and detail-oriented School Registrar to support student enrollment, records management, attendance reporting, and state compliance at our Las Vegas campus. The School Registrar serves as the primary point of contact for student enrollment and records while ensuring the accuracy, integrity, and confidentiality of student information. This position works closely with campus leadership, families, and network support teams to provide outstanding customer service and maintain compliance with state and organizational requirements. The ideal candidate is organized, customer-focused, technologically proficient, and able to manage multiple priorities in a fast-paced school environment while maintaining exceptional attention to detail.

Requirements

  • High school diploma or GED required.
  • Minimum of one (1) year of administrative, customer service, records management, or office support experience preferred.
  • Experience working in a fast-paced environment with multiple competing priorities.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to maintain confidentiality while handling sensitive student information.
  • Proficiency with Microsoft Office Suite and other technology platforms.
  • Ability to quickly learn new software applications and Student Information Systems.
  • Strong customer service skills with the ability to build positive relationships with students, families, and staff.
  • Ability to prioritize tasks, meet deadlines, and work independently.

Nice To Haves

  • Experience working as a school registrar, school administrative assistant, or in school operations.
  • Experience using Student Information Systems such as PowerSchool, Infinite Campus, SchoolMaster, or comparable platforms.
  • Bilingual in English and Spanish.
  • Experience working in a charter school or K–12 educational environment.

Responsibilities

  • Manage the enrollment, registration, transfer, and withdrawal processes for new and returning students.
  • Review enrollment documentation to ensure completeness and compliance with state and organizational requirements.
  • Request, receive, and process student records from previous schools.
  • Respond to records requests in accordance with applicable laws and organizational procedures.
  • Maintain accurate, complete, and confidential cumulative student records in both electronic and physical formats.
  • Monitor enrollment capacity, waitlists, class assignments, and student status changes.
  • Maintain accurate student information within the Student Information System (SIS).
  • Ensure accurate coding for student program participation, including English Learners (EL), Special Education (SPED), Title I, and other required designations.
  • Support attendance tracking, verification, reporting, and state submissions.
  • Coordinate required student reporting activities, including enrollment verification, attendance audits, and other state reporting requirements.
  • Generate attendance reports, class rosters, report cards, enrollment reports, and additional administrative reports as requested.
  • Ensure compliance with federal, state, and network policies related to student records and data privacy.
  • Serve as a primary resource for families regarding enrollment, registration, required documentation, and student records.
  • Assist prospective families with enrollment questions, school tours, and onboarding processes.
  • Collaborate with school administrators, teachers, and network departments to ensure accurate student information and timely communication.
  • Provide excellent customer service while maintaining professionalism and confidentiality.
  • Maintain organized documentation and filing systems.
  • Support campus operations through accurate recordkeeping and administrative assistance.
  • Assist with special projects, audits, and compliance reviews as assigned.
  • Perform additional duties as assigned by campus leadership.
