Scheduling, records, reporting, and data accuracy are not simply administrative tasks; they are foundational to the student experience, faculty effectiveness, college placement, compliance, and institutional credibility. MAI is seeking an experienced Registrar to serve as the central steward of academic scheduling, student records, and institutional data integrity. This highly specialized role blends project management, systems thinking, collaboration, and discretion to ensure the school’s academic operations run smoothly, accurately, and on time. Working both independently and in close partnership with divisional leadership, admissions, operations, and academic departments, the Registrar manages complex scheduling processes, maintains precise student records, and produces essential academic outputs including transcripts, report cards, and enrollment data. The ideal candidate brings exceptional organizational skills, meticulous attention to detail, and the ability to manage long-term projects with fixed deadlines in a dynamic school environment. This position is well suited to a professional who enjoys building and refining systems, values accountability, and understands the high stakes associated with academic data in a Tier 1 independent school.

Requirements

  • Prior experience in a registrar, scheduling, or academic records role (preferably in an educational setting).
  • Demonstrated expertise in academic scheduling.
  • Strong project management and analytical skills.
  • Comfort working with student information systems and emerging data tools.
  • Bachelor's degree required.

Responsibilities

  • Lead the project management of academic scheduling for students, faculty, and shared spaces, preparing and maintaining accurate semester schedules while adapting to changes in enrollment, electives, and course offerings.
  • Refine course sections, manage scheduling resources, ensure appropriate student accommodations, and confirm that every enrolled student has a complete and accurate schedule.
  • Oversee student records and academic reporting, including the production and distribution of report cards and official transcripts, maintaining consistent academic standards and supporting divisions with testing records and internal reporting.
  • Manage enrollment, re-enrollment, and withdrawal processes.
  • Audit and maintain student data across departments.
  • Serve as the primary point of contact for data requests and compliance.
  • Ensure the confidentiality, accuracy, and integrity of all records.
  • Support parent-teacher conference scheduling and family communications.
  • Contribute to strategic enrollment planning by providing insights on trends, risks, and opportunities affecting enrollment and student records.
