About The Position

This position involves performing receptionist and general clerical duties within a school office. The School Office Assistant is responsible for managing communications, processing documents, maintaining records, and supporting students and staff. The role requires a high school diploma or equivalent, one to two years of clerical experience, and a strong commitment to confidentiality and professional ethics.

Requirements

  • Minimum of a High School Diploma or state-approved High School Equivalency (HSE), required.
  • One to two years of general clerical experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
  • Exceptional integrity, commitment to confidentiality, excellent character, and strong professional reputation.
  • Ability to abide by the Georgia Professional Standards Code of Ethics for Educators.
  • Must be regularly, predictably, and reliably at work.
  • Ability to be present at the physical worksite.
  • Must perform tasks involving prolonged periods of standing, walking, and sitting.
  • Must perform routine physical activities such as bending and lifting/pushing/pulling up to 50 pounds.
  • Must be able to properly and consistently supervise students, particularly during emergency situations.
  • Vision, hearing, written, and verbal communications are essential factors in performing required tasks.

Responsibilities

  • Perform receptionist duties by answering the telephone, assisting and directing callers, and greeting, announcing, or routing visitors.
  • Perform general clerical and secretarial functions, including typing, copying, filing, processing forms, collating materials, scheduling appointments, maintaining supervisor's calendar, processing mail, and ordering supplies.
  • Receive and respond to inquiries and concerns from the public, referring problems to the appropriate staff.
  • Attend or make arrangements for meetings or special events.
  • Ensure classrooms and other positions have daily coverage.
  • Enter staff leave and secure substitute teachers.
  • Process new and withdrawing students.
  • Maintain student records.
  • Maintain the integrity of confidential information related to students and staff.
  • Create and maintain correspondence.
  • Attend to student needs.
  • Provide exceptional customer service and maintain professional practices.
  • Perform other duties and responsibilities as assigned.
