About The Position

The Site Coordinator role is for individuals who are natural leaders, love working with children, enjoy bringing big ideas to life, and creating a welcoming environment. This position involves leading the day-to-day operations of the school-age program, supporting the team, connecting with families, and ensuring a safe and engaging experience for every child. The role offers opportunities to plan activities, lead a team, solve challenges, celebrate successes, and make a significant difference in the lives of children and families.

Requirements

  • Minimum 20 years of age.
  • Bachelor's degree with at least 9 months of experience working with school-age children OR a high school diploma/equivalent with at least 1 year of experience working with school-age children.
  • CPR/AED and First Aid certification required.
  • Evidence of a physical examination within the past 12 months.
  • Negative Mantoux TB test and documentation of immunity to measles, mumps, and rubella, as required.
  • Ability to create and maintain a culture of excellence while working collaboratively as part of a team.
  • Ability to lift and move equipment and assist with cleaning and program set-up as needed.
  • Ability to work a flexible schedule, including occasional early mornings, and evenings.
  • Strong verbal and written communication skills, including the ability to speak publicly when needed.
  • Ability to sit, stand, bend, move throughout the program environment, and lift up to 75 pounds occasionally and 40 pounds frequently, including assisting with children when necessary.
  • Ability to understand and support the YMCA's three areas of focus: Youth Development, Healthy Living, and Social Responsibility.
  • Ability to recognize and respond appropriately to the needs of children and families participating in the program.

Responsibilities

  • Plan and implement fun, creative, and engaging activities for children.
  • Provide positive and encouraging leadership to assistant leaders and group leaders.
  • Support, motivate, and host meetings for the team to ensure they are ready to bring their best energy daily.
  • Build meaningful relationships with children and families to create a strong sense of community and boost enrollment.
  • Keep the program organized and running smoothly, handling unexpected situations.
  • Manage children's files and ensure they are up to date.
  • Ensure the program is in compliance with YMCA policies, licensing requirements, and safety guidelines, prioritizing safety and following EEC protocol.
  • Act as a problem-solver, cheerleader, planner, and team player.
  • Lead by example and embody YMCA values of caring, honesty, respect, and responsibility.
  • Understand, implement, and maintain compliance with all EEC regulations and Old Colony Y policies.
  • Develop programming that recognizes and supports the individual needs of each child.
  • Provide leadership and oversight of daily activities, including Y Chat, Homework Help, STEM activities, Arts and crafts, Group games and activities, Long-term projects, and Program set-up and clean-up.
  • Assist with staffing at other school-age locations and full-day programs when needed.
  • Supervise children throughout all program areas, field trips, special events, and other program activities.
  • Act as a positive role model for children, staff, and families.
  • Maintain a positive and supportive environment while ensuring appropriate child behavior and adherence to YMCA policies.
  • Communicate promptly and professionally with parents, school personnel, potential clients, and community partners.
  • Represent and promote YMCA programs through public appearances, presentations, and positive interactions.
  • Complete and maintain all required documentation, including accident reports, incident reports, attendance records, and other program paperwork.
  • Create and provide weekly staff schedules and meeting agendas as needed.
  • Maintain accurate attendance records and ensure all required reports and paperwork are completed and submitted appropriately.
  • Meet with the School Age Director as directed.
  • Provide leadership during weekly site staff meetings and monthly School Age meetings.
  • Coordinate with the YMCA office as needed to collect supplies, exchange paperwork, and complete administrative tasks.
  • Collect, record, receipt, and manage payments and billing.
  • Support ongoing professional development by participating in training, conferences, courses, and other professional growth opportunities.
  • Establish and maintain effective working relationships with school personnel and other site-specific partners.
  • Recruit, supervise, train, support, and evaluate school-age staff and volunteers.
  • Organize, facilitate, and document regular staff meetings.
  • Provide ongoing coaching, feedback, and support to staff.
  • Ensure staff understand and follow all YMCA policies, EEC regulations, safety procedures, and program expectations.
  • Attend mandatory training and all required Site Coordinator meetings.
  • Coordinate the purchase of program supplies in partnership with the School Age Director.
  • Support efforts to maintain and achieve maximum program enrollment.
  • Assist with the YMCA Annual Campaign and other fundraising initiatives.
  • Follow all YMCA fiscal policies and procedures.
  • Communicate billing or payment concerns to the director or billing coordinator.
