About The Position

Performs advanced administrative, records management, and financial support functions to ensure effective school operations. Coordinates office procedures and supports compliance with district, state, and federal requirements. This role includes all functions of the School Administrative Specialist I position, plus additional responsibilities such as overseeing daily office operations, coordinating workflow among support staff, maintaining student records (transcripts, immunization, health files), processing enrollment/withdrawal documentation, preparing attendance and eligibility reports, assisting with payroll and substitute documentation, collecting and reconciling school funds, maintaining inventory and ordering supplies, issuing building keys, monitoring office equipment, assisting with newsletters and reports, coordinating district/state/federal forms, assisting with graduation preparation and GPA calculations (High School only), facilitating athletic eligibility verification, providing first aid and administering medication, and potentially training other staff or student assistants.

Requirements

  • High school diploma or equivalent
  • Minimum three (3) years clerical, secretarial, bookkeeping, or school office experience
  • Demonstrated proficiency in computer applications and accounting systems
  • Knowledge of school office procedures and student information systems
  • Knowledge of basic accounting and bookkeeping practices
  • Ability to reconcile records and maintain accurate documentation
  • Ability to interpret and apply district policies and procedures
  • Strong organizational and problem-solving skills
  • Ability to train and oversee others
  • Proficiency in word processing, spreadsheets, and database systems
  • Applicants must be legally authorized to work in the United States.

Responsibilities

  • Maintains inventory of supplies and equipment; oversees ordering
  • Issues building keys and monitors office equipment maintenance
  • Assists with preparation of newsletters, reports, meeting agendas, and minutes
  • Coordinates collection and processing of required district, state, and federal forms
  • Assists with graduation preparation, GPA calculations, and related documentation (High School only)
  • Facilitates athletic eligibility verification and related recordkeeping
  • Provides first aid and administers/monitors medication in compliance with policy
  • May train and provide guidance to School Specialist I staff or student assistants

Benefits

  • Non-Recurring Pay: 7% of base salary (distributed as 3.5% on November paycheck and 3.5% on May paycheck)
