About The Position

The Scheduling and Workforce Optimization Partner actively facilitates Scarborough Health Network’s scheduling processes with the goal that all areas are adequately staffed in an operationally safe and cost-efficient manner at all times. The Scheduling and Workforce Optimization Partner acts as a scheduling business partner, using expertise in strategic scheduling to assess and make decisions collaboratively with operational leadership teams across a defined portfolio to ensure adherence to appropriate collective agreements, scheduling policies and models of care. They will interface with Scheduling and Staffing Office Clerks to collaboratively manage staffing workflows as required. This role will work in collaboration with Human Resources Business Partners as required.

Requirements

  • Diploma or degree required (Business Administration, Human Resources, Engineering, Computer Science, or Mathematics preferred).
  • Minimum 3 years scheduling experience in a unionized acute care setting is required.
  • Demonstrated proficiency of analytical skills and knowledge of analytical software (e.g. Microsoft Excel and other statistical software) required.
  • Experience building and optimizing schedules and master rotations required.
  • Experience developing financial business models to support recommendations.
  • Experience working with Labour Relations to interpret and implement Collective Agreements.
  • Self-directed, demonstrated ability to work collaboratively with others.
  • Excellent interpersonal and communication skills both verbal and written.
  • Proven decision making, negotiating, conflict resolution and problem-solving skills.
  • Demonstrated ability to manage conflicting priorities and confidential data.
  • Good work and attendance record required.

Nice To Haves

  • Knowledge of UKG or other electronic scheduling systems an asset.
  • Experience with utilizing Microsoft 365 (SharePoint, Forms, Power Apps) an asset.
  • Experience training adults an asset.

Responsibilities

  • Proactively supports unit managers and Scheduling and Staffing Clerks to establish and maintain effective staffing models for delivery of service in their specific units or departments.
  • Ensures optimal use of relief staff and offers approaches to the full time, part time and casual mix.
  • Provides consultation and support to managers and Scheduling and Staffing Clerks in rotation management techniques to optimize resource utilization.
  • Analyzes current rotations and works with managers and Scheduling and Staffing Clerks to review, plan and build optimized rotations.
  • Facilitates change, advises on best practice and liaises with various stakeholders to achieve optimal results.
  • Maintains knowledge of scheduling rule changes, best practices, and technological changes to ensure schedules are produced in optimal and compliant ways.
  • Supports with scheduling analytics and reporting for their portfolio.
  • Conducts quantitative analysis to support decision making, identifying opportunities and creating practical recommendations to operational leadership for improvements.
  • Uses scheduling data to support managers in addressing staffing model and unit/department-level workforce planning challenges including overtime, sick leave, and leave management planning.
  • Is jointly responsible for the training and ongoing education of UKG users, including a group of super users.
  • Performs analysis and reporting on strategic and ad hoc metrics to support decision making across SHN.
