About The Position

The Scheduling Supervisor is responsible for overseeing the administrative operations of the outpatient scheduling functions across Brown University Health's Medical Imaging and Cardiology departments. This role ensures timely, accurate scheduling optimal patient access, and a high level of administrative support to both clinical staff and patients.

Requirements

  • Associate's or Bachelor's degree in Healthcare Administration, Business, or a related field preferred. Other education and experience may be substituted for educational requirements at the discretion of the hiring manager.
  • 3-5 years of experience in outpatient scheduling, prior authorizations, or healthcare administration required.
  • 1-2 years of supervisory or team lead experience in a healthcare setting preferred.
  • Strong knowledge of medical imaging and cardiology services
  • Excellent organizational, communication, and interpersonal skills.
  • Proficiency with electronic health records (EHR), scheduling software, and Microsoft Office Suite.

Responsibilities

  • Supervise scheduling staff in all administrative support activities.
  • Oversee outpatient appointment scheduling, and patient record management.
  • Ensure timely generation, maintenance, and distribution of operational reports.
  • Supervise centralized services for all routine outpatient imaging and cardiology exams.
  • Interview, onboard, train, schedule, and evaluate team members.
  • Provide coaching and professional development to ensure performance goals are met.
  • Recommend and implement corrective actions, including disciplinary steps when appropriate.
  • Maintain a positive and collaborative work environment with consistent communication and support.
  • Develop, implement, and evaluate administrative systems to improve information flow and service quality.
  • Monitor quality and timeliness of services to meet standards across all Brown University Health affiliates.
  • Drive continuous process improvement initiatives to optimize scheduling
  • Direct preparation of metrics and reports related to scheduling
  • Present performance data, trends, and improvement plans to department leadership.
  • Serve as liaison between staff, management, and stakeholders to resolve issues and share updates.
  • Actively participate in Brown University Health Imaging Operations Leadership Team.
  • Represent administrative support services in internal councils and committees.
  • Lead or contribute to special projects assigned by the Medical Imaging Manager.
