The Scheduling Specialist is a full-time position within the Facility & Campus Operations Department, responsible for overseeing staffing and scheduling for event operations, managing departmental financials, and ensuring accurate payroll processing.

Requirements

  • Bachelor's degree or equivalent education and relevant work experience.
  • Minimum of three (3) years of experience in staffing, scheduling, or event planning and coordination roles.
  • High attention to detail.
  • Proficient in computer applications and ability to adapt to specialty applications, forms, file systems, and tools.
  • Good interpersonal, verbal, and written communication skills; able to communicate effectively and build rapport across the organization.
  • Demonstrated ability to manage a large queue of tasks, self-prioritize, and remain organized.
  • Must be able to successfully traverse the various levels and areas of the Hollywood Park campus with ability to stand and walk for prolonged periods of time.
  • Flexible schedule required; must be able to work nights, weekends, and holidays as required.

Responsibilities

  • Oversee appropriate staffing and scheduling for event operations across the Hollywood Park campus.
  • Manage departmental event settlements, invoices, and other department financials.
  • Work closely with internal partners to understand event operations and conversion needs for accurate staffing deployments.
  • Coordinate Team Member availability and scheduling based on the scope of work.
  • Manage and review electronic time records for accuracy in payroll processing and event reconciliation.
  • Process time off requests and provide guidance to Team Members regarding scheduling, attendance, and Paycor.
  • Submit department invoices and labor finals for settlement.
  • Produce projections of labor and material costing for event operations and conversions.
  • Assist with task development, prioritization, and quality control audits for event operations and conversions.
  • Provide administrative support to the Department.
  • Perform other necessary and relevant duties.
