About The Position

Under the direction of the Manager Nursing for Inpatient Surgery, the Surgery Scheduling Secretary is responsible for scheduling, canceling, and rescheduling all inpatient and outpatient surgical procedures. Coordinates appropriately with all hospital departments as appropriate for special surgical needs. Will also complete surgical charge reconciliation based on appropriate guidelines and ensure all surgical services charges are posted to patient accounts.

Requirements

  • High School Diploma or GED (required)
  • 1 years previous surgery scheduling experience and clerical experience with extensive knowledge of medical surgical terminology. (required)
  • Extensive knowledge of medical terminology; Computer skills; Registration experience. (required)

Nice To Haves

  • Medical Terminology certification (preferred)
  • Vocational or technical Degree in Medical Terminology (preferred)
  • 2 years previous surgery scheduling experience and clerical experience with extensive knowledge of medical surgical terminology. (preferred)

Responsibilities

  • Obtains and enters necessary booking information from person requesting surgical time.
  • Is aware of instrument and equipment limitations of department.
  • Allows adequate time for procedure according to physician’s request.
  • Leaves enough time between cases to allow for room turnover.
  • Attempts to schedule similar types of cases in the same room to increase efficiency.
  • Reviews and updates surgery schedule daily for all surgical procedures.
  • Recognize and understand urgent requests and responds appropriately.
  • Refers conflicts to manager or director and follows established guidelines for scheduling the number of rooms on a given day.
  • Completes and accurately posts surgical charges.
  • Prepares and distributes surgery schedule.
  • Verifies all patient names, procedures, surgeons, and times with registration and preadmission testing.
  • Obtains all missing information from physician’s offices as well as equipment needs, special requests and positioning.
  • Communicates any changes affecting the next day’s schedule to appropriate person and anesthesia department.
  • Notifies appropriate Team Leader/OR desk of any special case requests.
  • Obtains and faxes admission reports after cases are scheduled to PAT, Registration and Pre-Certification.
  • Answers incoming calls – triage and direct calls as necessary using only the best customer service skills.
  • Takes messages as necessary.
  • Assist with clerical needs of the department including, copying mailing tests, faxing, filing reports, sorting and distributing mail to other parts of the department.
  • Maintains proper inventory of office supplies and medical surgical supplies as needed.
  • Maintains testing logs, accumulates statistical and quality data and submits monthly to appropriate areas.
  • Answers family and patient questions about forms prior to signing and testing procedures.
  • Develops and maintains good working relationships with doctors’ offices to allow for smooth scheduling operations for the department.
