About The Position

The Greater Lawrence Family Health Center (GLFHC) is seeking a Scheduling Manager to oversee and optimize clinician scheduling operations. This role involves developing and maintaining provider and residency schedules, managing scheduling systems, administering payroll and incentive compensation reporting, and leading improvement initiatives. The Scheduling Manager will supervise scheduling staff to ensure efficient operations, provider productivity, and patient access.

Requirements

  • Bachelor's degree in Healthcare Administration, Business Administration, Computer Science, or a related field.
  • 5-7 years of experience in healthcare scheduling, operations, or access management.
  • Minimum of 3 years of supervisory or leadership experience.
  • Experience managing complex provider schedules across multiple specialties, departments, or locations.
  • Advanced proficiency in Microsoft Excel and Outlook.
  • Strong analytical, organizational, and problem-solving skills.
  • Exceptional attention to detail and ability to manage multiple priorities.

Nice To Haves

  • Experience with QGenda, EHR scheduling systems, or workforce management platforms preferred.

Responsibilities

  • Develop and maintain clinician schedules, including clinics, acute care coverage, telehealth, on-call rotations, rounding, residency, and precepting assignments.
  • Ensure schedules are completed within established timelines and provide adequate provider coverage.
  • Review and approve schedule changes, coverage requests, and provider assignments.
  • Coordinate scheduling adjustments related to onboarding, leaves, and other staffing changes.
  • Resolve scheduling conflicts and provider scheduling concerns.
  • Establish and maintain scheduling policies, procedures, and standards.
  • Oversee provider scheduling templates to support patient access goals.
  • Audit templates for scheduling accuracy, capacity utilization, visit types, and template integrity.
  • Coordinate template updates with clinical and operational leaders.
  • Monitor scheduling requests and compliance with established workflows.
  • Oversee scheduling systems and related workflows.
  • Maintain scheduling data integrity and system standards.
  • Partner with IT and vendors on system enhancements, training, testing, and implementation.
  • Prepare and administer clinician incentive compensation reporting.
  • Analyze provider productivity, scheduling, and compensation data.
  • Develop reports, dashboards, and recommendations to improve patient access, scheduling efficiency, and provider productivity.
  • Supervise Scheduling Staff, Hospital Coordinators, and related personnel.
  • Provide coaching, performance management, and professional development.
  • Ensure cross-training and operational continuity within the department.
  • Foster a culture of accountability, collaboration, customer service, and continuous improvement.
  • Participate in organizational projects, committees, and initiatives.
