About The Position

The Scheduling Manager – Garage Doors is responsible for overseeing the scheduling and coordination of garage door installations, service calls, deliveries, and related field activities. This role serves as a critical link between customers, sales, installers, service technicians, and internal operations to ensure projects are scheduled efficiently, communicated clearly, and completed on time. The Scheduling Manager will lead day-to-day scheduling operations, optimize field capacity, proactively resolve scheduling challenges, and ensure customers receive a seamless experience from order confirmation through installation and service completion.

Requirements

  • 3+ years of experience in scheduling, dispatching, operations coordination, or a related field.
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication and customer service skills.
  • Strong problem-solving and decision-making abilities.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Strong attention to detail and commitment to accuracy.
  • Proficiency with scheduling, CRM, ERP, or other business management systems.
  • Ability to effectively communicate with field teams, customers, sales personnel, and leadership.

  • Previous experience leading or managing a team preferred.
  • Experience in construction, home improvement, garage doors, installation services, or a related industry strongly preferred.

Responsibilities

  • Manage daily and weekly scheduling of garage door installations, service calls, deliveries, and other field activities.
  • Coordinate schedules based on installer and technician availability, geographic territories, project requirements, and customer expectations.
  • Maximize field team productivity and minimize scheduling gaps, unnecessary travel, and downtime.
  • Monitor upcoming projects and proactively identify potential scheduling conflicts or delays.
  • Adjust schedules as needed to accommodate changes, cancellations, weather, material availability, or unexpected field issues.
  • Ensure jobs are scheduled with the appropriate resources, materials, and labor requirements.
  • Lead and support scheduling personnel and serve as the primary point of escalation for scheduling-related issues.
  • Establish clear scheduling processes, expectations, and accountability across the team.
  • Monitor workload and performance to ensure scheduling activities are completed accurately and efficiently.
  • Partner with field leadership to understand installer and technician capacity and performance.
  • Foster strong communication and collaboration between scheduling, sales, operations, and field teams.
  • Serve as an escalation point for customers regarding installation and service scheduling.
  • Ensure customers receive timely and accurate communication regarding appointment dates, arrival windows, delays, and changes.
  • Partner closely with Sales and Project teams to ensure commitments made to customers are reflected in the schedule.
  • Communicate schedule changes and job requirements clearly to installers, technicians, sales representatives, and management.
  • Help resolve customer concerns related to missed appointments, delays, reschedules, or other scheduling challenges.
  • Review upcoming orders to confirm jobs are ready to be scheduled and that required materials, measurements, approvals, and documentation are complete.
  • Coordinate with warehouse, purchasing, sales, and operations teams to ensure materials are available before scheduling installation.
  • Identify incomplete or problematic orders and work with the appropriate teams to resolve issues before they impact the customer.
  • Maintain accurate scheduling information and ensure job statuses are updated consistently.
  • Track scheduling performance, including installation timelines, schedule adherence, cancellations, reschedules, and field utilization.
  • Identify trends and opportunities to improve scheduling efficiency and customer experience.
  • Develop and maintain standardized scheduling procedures and best practices.
  • Use data and reporting to improve capacity planning and operational performance.
  • Continuously evaluate scheduling processes to support growth and scalability within the Garage Door division.
