About The Position

This full-time position is for a Scheduling Coordinator in the Infusion Center-Chemo. The role involves obtaining insurance authorization, coordinating patient referrals to specialists, entering and maintaining referral data, verifying documentation, assembling patient information, providing clinical information to specialists, informing patients of appointment details, and documenting all referral stages. The coordinator must demonstrate adaptability, stay current with corporate communications, be punctual and appropriately dressed, assist other staff, adhere to departmental policies and procedures, complete required training, maintain a professional code of conduct, and exhibit a positive attitude when interacting with patients, providers, and employees. The role also requires following HIPAA and OSHA regulations, abiding by the employee handbook, performing duties as part of the practice care team, participating in team huddles and meetings, engaging in quality improvement initiatives, and ensuring job functions align with office policies and patient-centered medical home standards. Other duties may be assigned as required or requested.

Requirements

  • Knowledge of practice management computer systems (e.g., EPIC).
  • Demonstrated ability to work independently and as a team.
  • Knowledge of general office machines and telephone system.
  • Familiarity with identification of medical documents.
  • Ability to work well under pressure and within tight deadlines.
  • Ability to multitask and adapt to shifting priorities.
  • Maintain high degree of discretion when dealing with confidential information.
  • Detail oriented.
  • High School diploma or equivalent.
  • Experience in an office environment and/or health care setting helpful.

Responsibilities

  • Obtain insurance authorization from patient’s insurance company via phone, fax, or online.
  • Coordinate patient referrals to specialists as requested by providers.
  • Enter and maintain accurate, comprehensive data entry of all referrals into the database.
  • Verify all pertinent documentation has been provided for the type of referral requested.
  • Assemble information concerning patient's clinical background and referral needs.
  • Provide appropriate clinical information to specialists per referral guidelines.
  • Call patient with appointment information.
  • Document all stages of the referral in the appropriate database or in writing.
  • Demonstrate adaptability and accept change in a positive manner.
  • Keep current with corporate communications such as email and internal network.
  • Present and ready for work in designated area at assigned time and dressed in appropriate work attire.
  • Readily assist other staff members upon completion of assigned duties.
  • Understand and adhere to all departmental policies and procedures.
  • Complete and maintain all required training relative to job function.
  • Exemplify a strong adherence to the professional code of conduct.
  • Maintain a professional and positive attitude and demonstrate supportive and understanding behavior when in contact with patients, providers, employees, and patients.
  • Follow all policies and procedures mandated by St. Joseph’s Physicians and the Government regarding HIPAA and OSHA.
  • Abide by the policies and procedures set forth in the St. Joseph’s Physicians employee handbook.
  • Perform duties and assist providers as part of the practice care team.
  • Take part in daily team huddles and/or other periodic team meetings to facilitate communications and enhance positive patient experiences and quality delivery of care.
  • Participate in quality improvement initiatives as part of the practice care team.
  • Ensure job functions align with office policies and procedures and patient-centered medical home standards.
  • Perform other duties and responsibilities as required or requested.

Benefits

  • Pay Range: $19.50-$27.85 dependent on experience and location
