Position Summary The Scheduler is responsible for coordinating and scheduling daily assignments for field staff to ensure efficient patient care coverage and smooth operations across the organization. This role requires strong communication skills, critical thinking, adaptability, and the ability to manage multiple priorities while supporting both staff and patients with professionalism and compassion.

Responsibilities

  • Review and process new service orders, ensuring visits are labeled and assigned within 24 hours
  • Coordinate scheduling for new admissions following established procedures
  • Monitor visit frequencies and certification periods to ensure accurate scheduling and problem resolution
  • Assign open visits based on staff availability, qualifications, and geographic coverage
  • Manage schedule changes caused by unscheduled absences, cancellations, or rescheduling needs
  • Communicate schedule updates promptly with staff and patients using designated communication systems
  • Document communication outcomes and scheduling changes accurately in the system
  • Reassign canceled or uncompleted visits to maintain continuity of care
  • Monitor open service orders throughout the day and assign visits according to patient needs and order requirements
  • Coordinate client coverage plans during planned staff absences
  • Escalate employee or patient concerns to the appropriate manager
  • Communicate unresolved scheduling issues and open visits daily for triage and follow-up
  • Participate in evening, weekend, and holiday on-call scheduling coverage as needed
  • Support additional scheduling and operational needs across the agency
