About The Position

The Scheduler provides centralized, full-service scheduling and calendar management for the Polygraph Program, coordinating high-volume Counterintelligence Scope Polygraph (CSP) examination appointments across all program Zones. The Scheduler ensures maximum utilization of examiner availability, timely handling of appointment requests, and accurate reporting to the Polygraph Program Manager (PM) and Polygraph Technical Contracting Officer Representative (PTCOR).

Requirements

  • High school diploma or equivalent required; relevant coursework or experience in office administration, operations, or logistics preferred.
  • Demonstrated experience in appointment scheduling, calendar management, or resource coordination, ideally supporting a high-volume, multi-location operation.
  • Strong organizational and multi-tasking skills with the ability to manage schedules across multiple geographic regions (Zones) simultaneously.
  • Excellent customer service and communication skills for interfacing with examinees, government personnel, and referring commands.
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook) and experience using scheduling/calendar software.
  • High attention to detail and accuracy in tracking appointments, cancellations, and reporting data.
  • Active DoD SECRET clearance at time of hire (or ability to obtain one).
  • Must be a U.S. citizen eligible for the required background investigation.
  • Must comply with all AFOSI/DoD information assurance, CUI, Privacy Act, and HIPAA safeguarding requirements, including annual Information Assurance (IA) awareness training.

  • Prior scheduling experience within a federal, military, medical, or law-enforcement setting.
  • Familiarity with DoD or AFOSI scheduling systems and reporting requirements.
  • Experience supporting a polygraph, counterintelligence, or personnel security screening program.

Responsibilities

  • Utilize the Government's identified scheduling system to remotely view, manage, and update examination appointments.
  • Assign examinees to available testing slots to maximize scheduling efficiency and minimize vacant appointment slots.
  • Track examiner availability with multi-month visibility across all assigned Zones.
  • Receive, confirm, cancel, and adjust appointment requests submitted from multiple referral sources.
  • Coordinate scheduling with contract Polygraph Examiners and Investigative Assistants to ensure the minimum density rule (10+ examinees within a 50-mile radius) is met or properly waived through PM/PTCOR approval.
  • Produce monthly (and, as directed, weekly) reports identifying vacant appointments, cancellations, and overall Zone schedules.
  • Support preparation of the Monthly/Weekly Status Report, including scheduling-related management summary items.
  • Communicate proactively with examinees, referring commands, and government points of contact regarding appointment logistics.
  • Maintain accurate scheduling records and support administrative/database functions in coordination with Investigative Assistants.

  • Standard government duty hours are 0730-1630 (core hours 0800-1600), Monday through Friday, excluding federal holidays; baseline schedule is 8 hours/day, 40 hours/week.
  • Must be able to obtain and maintain a Common Access Card (CAC).
