About The Position

Schedules surgeries/procedures across multiple departments and facilities providing timely, efficient, and customer-friendly service. Accurately captures the need for other scheduled services or needs associated with the scheduled case and communicates appropriately.

Requirements

  • High school diploma, GED or higher level degree if hired after March 1, 2025; must provide proof of completion within 90 days of hire if hired after March 1, 2025
  • Two (2) years of front office or scheduling experience in healthcare
  • Ability to adapt quickly to changing priorities and unexpected situations
  • Ability to create a welcoming environment for patients and visitors, demonstrating empathy and respect in all interactions
  • Ability to effectively communicate in a positive and professional manner
  • Ability to handle difficult and stressful situations in a calm and professional manner
  • Ability to operate general office equipment (i.e., computer, printer, scanner, telephone, etc.)
  • Ability to organize information or data to facilitate easy retrieval and use
  • Ability to successfully complete training orientation program(s) and competencies
  • Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications
  • Basic knowledge of insurances, including eligibility and benefit coverage, and other relevant information
  • Critical thinking skills
  • Knowledge of Epic scheduling, registration and communication tools
  • Self-starter; driven to take action without needing prompting
  • Written and verbal communication skills

Responsibilities

  • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
  • Schedules surgery/procedures with assigned physician at appropriate facility or department; initial scheduling and rearranging surgical patients based on surgeon preference and/or facility needs; lifts surgeon blocks to improve utilization of time.
  • Verifies insurance and authorizations for surgeries.
  • Audits patient charts for completeness/accuracy prior to scheduling with appropriate facility or department.
  • Schedules accurately to prevent operative/procedural delays and case cancellations.
  • Captures physician requests for scheduling STAT cases and attempts to complete within 72 hours.
  • Acts as liaison to patient during the scheduling process providing and communicating information on surgical/procedural date/time, itinerary, maps/directions and important information necessary for a positive experience.
  • Arranges pre- and post-operative appointments for assigned patients.
  • Processes patient communication; written, verbal, patient consults, data input, problem delegation/resolution and process improvement.
  • Organizes work time in order to complete tasks in assigned timeframe; identifies and escalates issues as appropriate, to leader in a timely manner.
  • Responsible for scheduling interviews for appropriate departments prior to intervention/surgery, if applicable.
  • Acts as revenue custodian by accurately completing and processing case updates, procedures and supply charges for assigned department(s), if applicable.
  • Performs other duties as assigned.
