About The Position

The University of Northern Colorado is seeking a Scheduler I to join their Facilities Management team. This position serves as the primary point of contact for campus maintenance concerns, receiving and analyzing work requests, prioritizing work orders, dispatching crews, and operating a computerized work order system. The role also provides support for the Lock Shop, including key issuance, record maintenance, and overseeing the campus-wide ID Card Access/Perimeter Door Security system. Additionally, the Scheduler I offers scheduling support for all Facilities Management shops and other related areas.

Requirements

  • Two (2) years of relevant experience in an occupation related to the work assigned to this position.
  • Must be a current Colorado resident.

Responsibilities

  • Receives and interprets detailed service requests and trouble calls from campus departments and assigns them to appropriate shop or contractor.
  • Accesses and operates computerized work order systems and assigns work orders to the appropriate shop.
  • Creates and logs callback work orders in computerized work order system.
  • Operates two-way radio system by dispatching numerous work crews to urgent calls for service.
  • Delegates work to other employees as necessary to accomplish tasks.
  • Answers multi-line telephone, types documents, files as necessary, and assists walk-in customers.
  • Trains and supervises student employees in Service Center operations.
  • Identifies appropriate key(s) for access to requested area(s), verifies authorized signatures for key issuance, and cuts a new key if required.
  • Replaces broken or lost keys for key holders by cutting a new key, and in the case of a lost key, verifies key issuance signature authority to confirm that the key in question should be reissued.
  • Creates and appropriately files key envelopes for returned keys.
  • Updates computer key information and key physical (paper) information databases.
  • Prepares computerized reports for use by Facilities Management and/or by campus departments related to the key or ID Card Access either required or issued for a designated building, room, or person.
  • Establishes key issuance policies to ensure continuity in key issuance procedures.
  • Maintains security of campus by enforcement of key issuance policies.
  • Trains and supervises student employees in the cutting and issuing of keys following key issuance policies.
  • Provides key sets for Facilities Management personnel, Information Services personnel, University Police Department personnel, and all other departments and temporary or seasonal personnel who require key sets by cutting and assembling into sets those keys which are essential for designated personnel.
  • Maintains computer database for key set issuance.
  • Inventories all key sets periodically to ensure accurate record keeping, and to replace worn or missing keys.
  • Assists callers and walk-in customers.
  • Advises building representatives of necessary utility outages (e.g. water, electrical), listens to complaints and/or concerns about services provided by Facilities Management from customers and offers possible resolution.
  • Provide updates regarding progress of work orders and related matters.
  • Operates and continually updates the computerized card access system.
  • Schedules and performs minor service and adjustments for hardware and schedules locksmiths to service larger issues.
  • Programs ID cards for authorized users, schedules for lock/unlock times for buildings.
  • Operates the building automation system computer to control heating, air conditioning, security alarms, fire alarms and lighting systems in all campus buildings.
  • Contacts and exchanges information with outside contractors, including pest control, roofing, elevator, glass, etc., for work orders requiring their attention.
