Responsible for the coordination and scheduling of Aviation corporate jet and helicopter assets and associated ground transportation, internal and external resources to include corporate and charter aircraft and livery services. Inherent responsibilities include aircraft scheduling, ground transportation scheduling, flight following, and data upkeep. Observes Department Operations Manual guidelines when scheduling company aircraft for corporate executives, members of the Board of Directors, and other authorized employees. This includes assigning the appropriate aircraft and flight crews as well as coordination of associated ground transportation at departure and arrival sites and airports. Responsible for the flight following of company aircraft, to include daily coordination with the Chief Pilots and/or Pilot in Command regarding aircraft location and availability. Reviews and approves invoices associated with aviation and associated ground transportation. Maintains passenger travel records including business, personal and commuting trips associated with company aircraft usage. Provides assistance to executives, pilots, and outside livery companies during non-scheduled hours concerning possible delays, changes or cancellations caused by weather or aircraft maintenance conditions. This requires immediate problem solving and the implementation of alternate travel arrangements on a 24/7 basis through rotating on call duties.
