About The Position

The Salesforce Administrator owns the day-to-day health, usability, and data integrity of Finalsite’s Salesforce environment and connected go-to-market applications. The role keeps Sales, Client Success, Marketing, Professional Services, and Finance teams productive by managing users and access, building and maintaining declarative automation, supporting lead-to-opportunity and quote-to-cash workflows, and resolving user issues. It partners with Revenue Operations stakeholders and an outsourced Salesforce architecture and development partner. The Administrator scopes, prioritizes, tests, and deploys programmatic and larger architectural work delivered by that partner. This is a hands-on role combining support-queue management with sprint delivery and process improvement. The position is 100% remote within the United States and is limited to permanent U.S. residents, who must maintain U.S. residency during employment. Finalsite supports more than 7,000 schools and districts worldwide and describes its culture as collaborative, supportive, and focused on employee growth.

Requirements

  • 3–5+ years of hands-on Salesforce Administrator experience in a B2B SaaS environment, with understanding of subscription models and renewal lifecycles.
  • Advanced proficiency with Salesforce Flow, including debugging and refactoring existing flows, as well as validation rules, formula fields, and approval processes.
  • Strong experience managing users at scale, including profiles, permission set groups, role hierarchy, sharing, and SSO/SCIM-based provisioning.
  • Experience supporting quote-to-cash tools such as Conga Composer and DocuSign, and lead-to-opportunity processes including lead routing and conversion.
  • Proficiency with data loading and cleanup tools such as Data Loader or Data Import Wizard, and comfort preparing and reconciling data in spreadsheets.
  • Ability to run a support queue, with strong troubleshooting, prioritization, written communication, and documentation skills.
  • Salesforce Administrator (ADM-201) certification.
  • U.S. permanent residency and continued U.S. residency are required for employment.
  • Bachelor’s degree or commensurate experience.

Nice To Haves

  • Salesforce Advanced Administrator or Platform App Builder certification.
  • Experience owning or supporting integration platforms such as Celigo, Workato, or MuleSoft, and marketing automation syncs such as HubSpot.
  • Familiarity with PSA tools such as Rocketlane or Cloud Coach, customer success platforms such as ChurnZero, and conversation intelligence or sales engagement tools such as Chorus or Outreach.
  • Ability to read Apex and understand existing triggers and classes well enough to scope work for and review deliverables from an outsourced development team; writing Apex or LWC is not required.
  • Experience working with an external Salesforce architecture or development partner, including sandbox-to-production deployment and UAT.
  • Experience with NetSuite-connected order-to-cash processes and multi-entity or post-acquisition Salesforce environments.
  • Okta familiarity for SSO/SCIM-based provisioning.

Responsibilities

  • Own Salesforce user lifecycle, including provisioning new hires, assigning profiles, roles, and permission set groups, and deactivating users and reassigning records during offboarding.
  • Resolve access, permission, and login issues across Salesforce and connected tools, including MFA and verification prompts, report export rights, Gmail-to-Salesforce, DocuSign, and Rocketlane access.
  • Maintain the Salesforce role hierarchy and manager relationships for accurate approvals, forecasting, and reporting.
  • Build, maintain, and debug declarative automation, including Flows, validation rules, formula fields, and approval processes, for lead conversion, opportunity and renewal management, CSAT, trials, and site-key generation.
  • Administer approval processes, including routing changes for manager changes and PTO coverage, and correct misrouted approval logic.
  • Manage Salesforce configuration, including objects, fields, picklists, page layouts, record types, and product catalog changes.
  • Triage and resolve lead conversion and routing issues, including validation errors, lead-to-opportunity matching, ownership corrections, and partner lead routing.
  • Support contract generation and e-signature workflows in Conga Composer and DocuSign, including template corrections, layout buttons, signatory issues, and Legal-requested template language changes.
  • Maintain opportunity and renewal data integrity, including renewal ownership, annual price rollups, revenue split logic, subsidiary assignment, and product line-item accuracy.
  • Execute data imports and list hygiene, including conference attendee list matching and loading, campaign-member updates, contact refinement and archival updates, and bulk record changes.
  • Build and maintain reports, dashboards, and custom report types for Sales, Client Success, Professional Services, and leadership.
  • Own first-line support for Salesforce-connected integrations, monitoring sync errors, certificate and connection health, and field mappings; escalate platform-level issues to the development partner.
  • Ensure new fields and processes are reflected consistently across integrated systems and intake and conversion mappings.
  • Manage the Ask RevOps support queue with clear communication, documented resolutions, and root-cause fixes that reduce repeat tickets.
  • Partner with Sales, Marketing, Client Success, Professional Services, and Finance to translate requests into scoped and prioritized sprint work.
  • Identify recurring manual tasks and automate or standardize processes such as provisioning, access requests, and list loads.
  • Write requirements and acceptance criteria for programmatic and architectural work, coordinate with the outsourced development partner, and own UAT, sandbox testing, and production deployment of delivered work.
  • Maintain sandbox environments and release hygiene, evaluate Salesforce releases and features, and ensure compliance with security and data privacy standards.
  • Monitor system performance and proactively address issues before they affect users.
