About The Position

This role serves as the central communication hub for the U.S. Sales organization, providing high-level administrative, operational, and customer-facing support. The position works closely with the VP of Sales, Regional Sales Managers, dealers and the Japanese parent company to ensure efficient coordination of quotes, orders, customer communication and internal follow-up. The ideal candidate is highly organized, professional, detail-oriented and comfortable working in a fast-paced environment with occasional after-hours needs.

  • Proficiency in Microsoft Office and SRM/EPR systems (Salesforce experience preferred)
  • Comfortable working in a fast-paced environment with frequent communication across time zones.

Responsibilities

  • Act as the primary liaison between the U.S. sales team and the Japanese parent company for order details, product questions, and sales-related requests.
  • Coordinate communication and project follow-up on behalf of the VP of Sales between the Japanese parent company and the U.S. organization.
  • Provide accurate and timely quotes to dealers and Regional Sales Managers using established pricing tools and templates.
  • Track open quotes and orders to ensure timely follow-up, updates and closure.
  • Communicate lead times, delivery schedules, and order statuses to dealers, RSMs, and customers.
  • Maintain a professional and responsive presence as the first point of contact for sales inquiries.
  • Answer the sales phone line, monitor incoming website inquiries, and manage general correspondence.
  • Support telemarketing and business development outreach to expand market engagement.
  • Coordinate travel arrangements for sales personnel and visiting customers, including flights, hotels, ground transportation and itineraries.
  • Assist with trade shows and event planning, logistics and follow-up activities.
  • Work with the company's business attorney to support the drafting, review or routing of sales documents such as purchase agreements, terms and conditions and NDAs.
  • Provide flexible support outside of normal business hours when required.
