About The Position

At Heartland, we build partnerships and are seeking a Sales Support Coordinator to enhance our fast-paced sales environment and provide excellent customer service. This role is for someone highly organized, helpful, and energized by both process and people. The coordinator will be crucial in assisting sales representatives with processing opportunities and sales orders efficiently, thereby allowing reps to concentrate on pursuing new opportunities and achieving targets without being burdened by administrative tasks.

Requirements

  • 2-4 years of experience in sales support, customer service, or operations.
  • Proficiency in Microsoft Office and comfort with CRM systems.
  • Excellent verbal and written communication skills.
  • A detail-oriented, highly organized mindset with the ability to juggle tasks and stay calm under pressure.
  • A collaborative attitude and a proactive approach-you don't just wait for tasks, you find ways to add value.

Nice To Haves

  • Experience working with manufacturers, distributors, or technical products is a plus.

Responsibilities

  • Responding to customer inquiries about order status, shipping, billing, returns, or product availability.
  • Processing sales quotes, orders, and demo requests accurately and quickly.
  • Own the coordination of the contract renewal process.
  • Prepare and support documentation for ongoing and renewing customer agreements.
  • Coordinating communication between customers, vendors, our warehouse, and the sales team.
  • Maintaining accurate and organized records of client interactions and transactions.
  • Troubleshooting and escalating issues when needed, while ensuring timely and professional follow-up.
  • Providing the sales team with relevant research, account updates, or manufacturer information.
  • Proactively looking for ways to improve our customer experience and internal workflows.
  • Staying up to date on our products and services so you can support both clients and sales reps effectively.
