We’re looking for an energetic, outgoing, and exceptionally organized Sales Support Administrator to become a key part of our Sales team. This isn't a sit-at-your-desk-and-wait-for-the-next-task kind of position. One minute you may be helping an Account Manager with a customer need, the next you could be coordinating a proposal, checking a customer portal, helping with a marketing project, following up on a survey, organizing a networking event, or figuring out what is holding up an invoice. You’ll have a lot of moving pieces, and you’ll be the person helping keep them moving. We aren't looking for someone to simply complete administrative tasks. We're looking for someone who wants to become an important part of the Sales team, build relationships, take ownership, learn the business, and make a difference. Requirements
- Previous experience in sales support, administration, customer service, account coordination, marketing support, or a similar role
- Excellent organization and time-management skills
- Strong written and verbal communication skills
- Confidence using Microsoft Outlook, Word, Excel, PowerPoint, and Teams
- The ability to learn systems such as customer portals, HubSpot, BuildOps, and other business platforms
- Strong attention to detail and follow-through
- A positive, professional attitude and willingness to jump in where needed
Nice To Haves
- Experience in HVAC, mechanical contracting, commercial construction, or the service industry is a plus, but it's not required. Finding the right person is more important to us.
Responsibilities
- Supporting the Sales Manager and Account Managers with day-to-day needs and follow-up
- Preparing proposals, presentations, reports, and customer communications
- Coordinating new customer setup and maintaining customer information
- Managing customer and vendor portals, purchase order requirements, and related documentation
- Helping coordinate contracts, approvals, and signatures
- Tracking open items, commitments, deadlines, and customer requests
- Assisting with customer surveys and following up on customer feedback
- Coordinating newsletters, marketing content, customer appreciation, and special events
- Working with Account Managers to identify projects for photos, videos, and marketing opportunities
- Helping coordinate Chamber events, networking opportunities, professional associations, and vendor activities
- Working with Account Managers and Accounting to help resolve billing questions and keep open items moving
- Serving as a go-between when a customer issue needs to get to the right person
- Pitching in on special projects wherever your help is needed
