The position is based in New York, NY, and is an on-site role within a customer-focused, fast-paced, and collaborative team environment.

Requirements

  • 1–3 years of relevant professional experience, preferably within the fragrance or flavor industry.
  • Strong customer focus and results-driven.
  • Ability to apply sound judgment, analysis, and sensitivity to customer needs.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Comfort working in a deadline-driven environment where accuracy and attention to detail are critical.
  • Clear and professional communication skills, both written and verbal.
  • Proficiency in Microsoft Office tools, including Excel, Word, and PowerPoint.
  • Availability and commitment to work on-site 4–5 days per week.

Responsibilities

  • Act as a key communication link between customers, Sales Account Managers, and internal stakeholders.
  • Coordinate multiple fragrance development projects in collaboration with perfumers, laboratories, marketing, production, customer service, and scent design teams.
  • Receive and process customer sample requests, inquiries, and time-sensitive requests related to fragrance products and materials.
  • Manage project setup and administration, including project entries, submissions, reworks, pricing, adoptions, line extensions, and SAP entries.
  • Maintain accurate project documentation, records, and customer portfolios across systems and shared folders.
  • Support customers with pricing, fragrance oils, samples, documentation, and follow-ups.
  • Coordinate daily shipments, prepare labels and shipping documentation, and serve as the on-site contact for sample logistics.
  • Ensure customer portfolios comply with current industry regulations by coordinating safety documentation and toxicology requests with the regulatory team.
