About The Position

This is a part-time Administrative Assistant role in the tree care industry, based in Berkeley, CA. The position involves a hybrid of responsibilities, splitting time between making outbound sales calls and learning recruitment tasks. The role requires strong writing and editing skills, accurate typing, personable phone outreach, and reliable transportation for local errands. The S&RA will be computer savvy and have experience interacting with many people daily. The role reports to the Chief People & Strategy Officer. The first part of the day involves supporting the Client Services Manager by contacting clients to confirm estimate receipt, following up on unaccepted project bids, and sending post-project email surveys. The second part of the day focuses on recruitment using an Applicant Tracking System (ATS) to find candidates, sending and interpreting surveys, scheduling and conducting phone interviews, and forwarding suitable candidates for review.

Requirements

  • Associate or bachelor’s degree plus excellent written communication and editing skills
  • Fast and efficient typing
  • Outgoing, extraverted personality; comfortable making high-volume outbound phone calls and handling rejection professionally
  • Able to spend roughly 5 hours/day on outbound calls
  • Reliable personal transportation and willingness to run errands within the Berkeley area
  • Residence within a 40-minute commute of Berkeley, CA
  • Strong organizational skills, attention to detail, and ability to multitask across sales and recruiting priorities

Nice To Haves

  • Bilingual English/Spanish
  • Experience with CRM (Customer Relationship Management software like Salesforce) or ATS (Applicant Tracking System like Breezy-HR or Workable) platforms
  • Previous experience making outbound calls

Responsibilities

  • Outbound sales calling, leads/estimates follow-up, contact existing customers regarding new services, follow up with clients after project completion to understand their experience, document outcomes in CRM
  • Meet weekly performance targets for calls and candidate pipeline activities
  • Write and edit clear, concise email templates, job ads, call scripts, interview questions, and candidate communications.
  • Learn to review candidates, send surveys, learn to interpret survey results, screen candidates, coordinate on-site interviews, and support hiring/onboarding workflow.
  • Run local errands, deliver/pick up materials, occasionally take job-site photos
