This role is on site in our Scottsdale office 4 days/week with Fridays remote. As our Sales Operations Specialist you'll be the ambassador of our Business to Business customer experience process.You'll bridge the gap between Sales, Finance, and Supply Chain, ensuring that every order is handled with precision. You're a steward of customer data and provide the operational support necessary for our sales team to hit their targets.

Requirements

• High school degree or equivalent
• 2+ years in Sales Operations, Order to Invoice Management, or a related administrative/accounting role
• Experience with Enterprise Resource Planning systems and Customer Relationship Management software
• Exceptional accuracy in data entry and a detective mindset for resolving invoice disputes and inventory discrepancies

Responsibilities

• Execute accurate and timely order entry into the ERP system.
• Manage the full order lifecycle, including reviewing rewards programs, obtaining freight quotes, and providing real-time status and tracking updates to stakeholders.
• Monitor inventory levels and proactively manage Out of Stock scenarios to minimize disruption to the customer experience.
• Proactively lead account collections and credit card maintenance.
• Resolve invoice disputes and process necessary Debit/Credit Memos and invoice corrections.
• Lead the processing of customer returns and corporate buy-back programs, ensuring all financial and physical reconciliations are accurate.
• Facilitate the setup of new accounts by reviewing paperwork and coordinating with Master Data Management and Accounting departments.
• Enter and maintain high-quality customer master data to ensure reporting accuracy across the organization.
• Provide operational support for product launches and sales promotions.
• Manage education registrations and troubleshoot Marketing/Education coupon issues to ensure seamless promotional execution.
• Premium phone based customer service with each Sales Operations Specialist having dedicated phone time to answer incoming customer questions.
