About The Position

Parkline Motors is seeking an organized and customer-focused Sales Office Manager to support front-desk operations, coordinate vehicle transportation, and track customer commitments. This position communicates with customers, sales associates, managers, service employees, and transportation providers. The right candidate will be professional, detail-oriented, and consistent about following open tasks through completion.

Requirements

Administrative, customer service, dealership, dispatch, or office coordination experience preferred.
Strong customer service and communication skills.
Professional phone and in-person presence.
Strong organization and follow-up skills.
Comfortable using Google Sheets and web-based tracking systems.
Central Dispatch or vehicle transportation experience is preferred.
Strong attention to detail and data-entry accuracy.
Ability to manage multiple vehicles, customers, and deadlines simultaneously.
Dependable and able to work independently while coordinating with multiple departments.

Responsibilities

Welcome customers and direct them to the appropriate salesperson or department.
Assist customers who are not already working with a salesperson by collecting their information for a sales manager.
Answer incoming sales and service calls and accurately record the customer’s name, contact information, and vehicle of interest.
List sold vehicles and trade-ins for transportation through Central Dispatch.
Maintain accurate vehicle transportation information in Central Dispatch and the dealership’s Google tracking sheet.
Monitor vehicles through assignment, pickup, transportation, and delivery.
Coordinate pickup and delivery details with customers, sales employees, managers, transportation companies, and drivers.
Track outstanding trade-in vehicles and follow up until they arrive at the dealership.
Maintain a tracking system for items promised to customers on We-Owe documents.
Coordinate with sales, finance, and service to ensure customer commitments are completed.
Provide customers with timely updates regarding transportation and outstanding We-Owe items.
Escalate delays, missing information, or unresolved commitments to the appropriate manager.
