About The Position

The Sales & Event Coordinator provides essential support to the sales, catering, and banquet teams. This role collaborates closely with department managers to achieve established revenue goals and service metrics through accurate documentation, customer relationship management, and efficient administration of the sales process. This individual will assist with daily sales operations including but not limited to customer correspondence, contract preparation, research for new business opportunities, database management, and interdepartmental communication.

Requirements

  • Excellent communication skills. Ability to convey information and ideas through a variety of media; engaging the customer and helping them understand and retain the message. Skilled at establishing effective relationships with customers and internal partners.
  • Strong research and data entry skills with attention to detail and accuracy.
  • Ability to multi-task and prioritize through strong organizational skills while meeting established deadlines.
  • Computer literacy with experience using Internet Explorer, Microsoft Office, and sales database systems (Delphi, CI/TY, or Envision preferred).
  • Customer service orientation with the ability to assess customer needs and respond accordingly.
  • Ability to be assertive and persuasive without being aggressive, with a professional, upbeat telephone voice.
  • Analytical thinking with the ability to "connect the dots" and translate customer requirements into sales solutions.
  • Self-motivated with the ability to work independently while collaborating effectively with team members.
  • High School Diploma required; Associate's or Bachelor's degree preferred.
  • Minimum of 1 year of customer service experience (by phone or in person) required; previous hospitality or sales support experience preferred.

Responsibilities

  • Functions as a key support member of the hotel's sales and marketing department, responsible for assisting with reactive sales activity, proactive account management, customer correspondence, and contract preparation.
  • Maintains complete and accurate records of all customer interactions and correspondence in sales systems to support departmental goals and decision-making.
  • Prepares accurate, creative customer correspondence and contracts to facilitate the sales process and enhance customer satisfaction.
  • Manages lead log and lead statistics for strategic outbound sales efforts, supporting the team's ability to identify and pursue new business opportunities.
  • Conducts internet research as requested to help secure new business and assists with market trend analysis.
  • Collaborates with other hotel departments to ensure proper communication and seamless service delivery.
  • Develops and maintains positive relationships with customers and vendors through professional, courteous, and ethical interpersonal interaction.
  • Accurately produces and/or reviews all sales contracts, rate agreements, and/or banquet/catering event orders to ensure accuracy and customer satisfaction.
  • Stays knowledgeable about established goals for each department and understands the role they play in the sales process to achieve or exceed those goals.
  • Demonstrates proficiency with sales tools and systems including but not limited to Delphi, CI/TY, Zoominfo, HIS, Horizon, Reflect, and Incentive Tracking.
  • Seeks opportunities to improve processes and enhance sales systems to increase operational efficiency.
  • Maintains awareness of hotel market matrix or ESS target score and areas in need of improvement.
  • Performs additional duties as assigned by the Director of Sales specific to the respective hotel.
