Requirements

  • Minimum of two years of wedding and/or event coordination or equivalent administrative experience.
  • Ability to work full time in a fast-paced environment with changing priorities.
  • Ability to work early mornings, evenings, weekends, and holidays, when needed.
  • Self-motivated goal setter with the ability to multi-task and prioritize tasks provided from several individuals at one time.
  • Stellar organizational skills, flexibility, detail orientation and strong conceptualization abilities.
  • Exemplary communication skills and excellent interpersonal and problem-solving abilities.
  • Passion for service excellence and for creating an exceptional experience for all guests.
  • Enthusiastic and positive demeanor, with a professional appearance.
  • Computer proficiency, including MS Office products, reporting creation and POS systems.
  • Demonstrated ability to work well independently, and in a task-oriented, team environment, developing constructive and cooperative working relationships.

  • Group event/wedding coordination experience in a resort or event space preferred.

Responsibilities

  • Answer sales telephone lines in a timely manner, take messages, handle customer requests, and forward leads/inquiries to the appropriate salesperson immediately.
  • Assist clients when they are unable to contact managers and are seeking immediate assistance.
  • Assist Director of Commercial Sales & Marketing with reporting such as inquiries, due dates, cut-off dates, leads, etc.
  • Actively track various due dates and important follow-up items for payments, menu and event timelines.
  • Assist with email communications.
  • Ensure that Group Summaries have been completed and detailed by the sales managers for all incoming groups.
  • Assist in responding to inquiries, answering resort questions, and updating and maintaining data for the sales & events team.
  • Assist with FAM Trips, Client Events, Site Tours, etc., to support sales and ensure smooth communication before, during, and after an event.
  • Assist in preparation of the meeting/event room(s) and guestrooms for clients/events.
  • Help foster and promote a cooperative working climate, maximizing employee communication and morale.
  • Ensure efficient communication of events/groups with all departments throughout the resort, collaborating with other departments as appropriate to ensure smooth operations and event execution.
  • Assist in preparing various event documents including creation and printing of signage and menus.
  • Coordinate receipt and verification of rental equipment, flowers, decorations, etc., as well as other event needs within their daily schedule.
  • Support the team in billing for group events, from closing out bills in Versa/Agilysys to turning in invoices for special event purchases, including tracking and collection of pre-event deposits.
  • Assist in addressing guest complaints and problems in a professional manner to ensure a successful outcome.
