About The Position

The Sales Coordinator provides essential support to Sales Representatives by managing quoting, programs, and pricing. This role is crucial for coordinating pre-deliveries and ensuring machines are ready for clients, working closely with Parts and Service departments to meet customer needs. The Sales Coordinator oversees the entire equipment sales administration process, from initial deal engagement to final invoicing and delivery, ensuring sales velocity and accuracy. They are responsible for managing the sales pipeline for their assigned region, providing regular reporting on opportunities and threats during weekly sales meetings. Collaboration with Equipment Operations Coordinators and Demand Planners is key for process improvement, with the potential to act as backup for these roles. The position also involves ensuring accurate pre-shipping and receiving documentation, assisting walk-in or call-in customers, directing yard attendants on machine preparation and movement, and administering equipment demonstration and loaner reservations. A customer purchase binder must be prepared for new sales and delivered with the machine. The Sales Coordinator also works with Demand Planners on machine work tool configuration and inventory. Adherence to customer care standards, safety policies, and the company’s vision, mission, and values is expected. Other duties may be assigned as part of supporting strategic initiatives.

Requirements

  • Knowledge and use of Microsoft computer products and programs.
  • Working knowledge of the Caterpillar product line and work tools.
  • Must be able to communicate effectively orally and in writing.
  • Must be able to multi-task and prioritize with customers, Sales Representatives, and internal departments.
  • Must be able to translate data into actionable information and clearly communicate it to stakeholders.
  • Demonstrated ability to deliver error free work products.
  • Ability to collaborate and maintain effective working relationships with others.
  • Consistent attendance.
  • High school diploma or General Education Degree (GED).
  • Two years’ experience required in similar role such as customer service, sales coordination or Caterpillar machine sales or service.
  • Two years’ experience required with customer relationship management software.
  • Must be able to communicate (speak, read, comprehend, write in English).

Nice To Haves

  • One year’s experience with AX software preferred.

Responsibilities

  • Provides support to Sales Representatives with quoting, programs, and pricing.
  • Coordinates pre-deliveries as well as make ready needs as defined by the Sales Representative.
  • Works closely with the Parts and Service Departments to provide required machine modifications that meet the client’s needs.
  • Reviews work orders for quote accuracy and execution as outlined through a customer promise date.
  • Oversees the equipment sales administration process from beginning to end.
  • Remains engaged with the Sales team early in the deal to achieve sales velocity and accuracy.
  • Prepares final sales packet and reconciles prior to invoicing.
  • Manages the sales pipeline from prospect to invoice to delivery for assigned region to meet and exceed expectations for our customers.
  • Provides reporting during weekly team sales meetings to gain visibility to both opportunities and threats.
  • Communicates and collaborates with Equipment Operations Coordinators and Demand Planners to continuously improve our processes and consistently apply them.
  • May act as backup for Equipment Operations Coordinators and Demand Planners as needed.
  • Ensures appropriate pre-shipping and receiving documents with accurate hours, condition, ship date, EMR, purpose of shipment when machines leaves or arrives.
  • Assists walk in or call in customers as needed, directing needs and lead details to the appropriate Sales Representative.
  • Directs yard attendants on preparing machines, notifying of machine status and movement, obtaining equipment movement records.
  • Coordinates the inspection, maintenance and cleaning of machines upon return from demonstrations, rental or loans.
  • Administers and manages equipment demonstration and loaner reservations for assigned region.
  • Prepares a customer purchase binder for new sales and ensures the binders are delivered with the machine at delivery.
  • Works with the Demand Planners for required machine work tool configuration and inventory of excess tools.
  • Adheres to all customer care standards.
  • Actively cares and advocates safety at Western States.
  • Adhere to all applicable safety policies, procedures and standards.
  • May accomplish training and serve as a team member in support of Western States’ strategic programs, projects, and initiatives.
  • Works within and promote corporate vision, mission, and values of the organization.
