About The Position

Sales Coordinator Position Overview: The Sales Coordinator supports the Sales team in all aspects of group and transient business, ensuring efficient coordination of client communications, internal operations, and administrative tasks. This role plays a key part in maintaining client relationships and supporting revenue growth.

Requirements

  • College degree in Hospitality or a related field preferred, or equivalent experience
  • Self-motivated, energetic and professionally passionate with excellent customer service
  • Liaise with vendors and suppliers
  • Ability to work a flexible schedule
  • Excellent presentation, communication, organization and computer skill
  • Microsoft Word, Excel, Outlook, PowerPoint, HTML and Photoshop
  • Experience with Opera, Delphi, or other PMS/CRM systems is preferred.
  • Ability to thrive and succeed in a fast-paced environment
  • Ability to work as a team player
  • Ability to maintain positive and professional demeanor while working under pressure
  • Solid computer skills including internet, IM, email, OPERA, SynXis CRS, Microsoft Word & Excel

Nice To Haves

  • College degree in Hospitality or a related field preferred, or equivalent experience
  • Experience with Opera, Delphi, or other PMS/CRM systems is preferred.

Responsibilities

  • Liaise with Sales Team in coordinating contract files.
  • Make / Change / Cancel reservations.
  • Process confirmations as needed.
  • Request booking links from distribution
  • Verification of the VIP, ETA, billing, arrival and departure dates, room types based upon group resumes prior to the weekly revenue meeting.
  • Ensure that group blocks, group lists, group billing, and cutoff dates are maintained.
  • Preblock all group needs for suites or connecting rooms.
  • Check Daily arrivals to ensure accurate reservations.
  • Process prepayments and ensure proper routing of 3rd party reservations
  • Verify travel agency commission invoices
  • Review cancellation report and charge as needed
  • Process and track gift certificates
  • Maintain positive guest relations at all times.
  • Able to perform job functions with attention to detail, speed, and accuracy.
  • Able to prioritize and organize work.
  • Handle mail / correspondence.
  • Run various reports in opera for managers
  • Assist with special projects as needed
