About The Position

The Sales Coordinator will support the sales team in various administrative and operational functions. This role involves maintaining office systems, assisting with client communication and documentation, and contributing to the overall sales effort. The position requires strong organizational skills, excellent communication abilities, and a team-oriented approach to ensure seamless event coordination and client satisfaction.

Requirements

  • Strong business communication and presentation skills, both verbal and written.
  • Ability to work in a standard office environment.
  • Prolonged periods of sitting at a desk and working on a computer (6-8 hours a day).
  • Occasional standing and walking throughout the workday.
  • Frequent fine motor skills, use of hands and fingers for keyboarding/typing, utilizing a mouse or trackpad, writing, and operating office equipment.
  • Ability to communicate effectively verbally and in writing.
  • Occasionally required to stand, walk, bend, reach, or carry items.
  • Ability to lift and/or move 10–25 pounds as needed (e.g., files, office supplies).
  • Visual ability to read from a computer screen and printed materials including close visual focus for extended periods and color differentiation (for certain roles).
  • Ability to hear and participate in conversations and meetings, use phone and/or headset.

Responsibilities

  • Maintain office filing system.
  • Maintain accurate balancing between the systems (Delphi and PEP).
  • Answer telephone inquiries efficiently, courteously, and professionally, and accurately transfer calls to the appropriate Sales/Catering Manager.
  • Take accurate and detailed messages according to ‘Take no Messages’ SOP.
  • Conduct ‘Very Professional’ Sales Test Calls.
  • Conduct hotel tours when needed.
  • Assist sales team by retrieving and administering rooming list, payment information, deposits, and banquet guarantees when needed.
  • Preparation of group resumes.
  • Printing and distribution of Group Resumes to department heads prior to weekly department head meeting on Thursdays. Group resumes to be completed and copies made by 9 am every Thursday.
  • Assist in the sales effort by qualifying (utilizing the approved qualifying sheet) and when appropriate booking the business of inquiries.
  • Responsible for obtaining all necessary information concerning company policy and procedures with regard to Sertifi, Credit Cards, Contracts.
  • Be knowledgeable of in-house groups and meetings to provide additional support in the event that sales managers are out.
  • Assist in client maintenance by being available to clients that prefer to reach you for their needs, coordinating with Sales Manager/DOS and ensuring seamless event coordination.
  • Assist the sales team in telephone prospecting and outside sales blitzes by contacting clients from established lists developed by the sales team.
  • Administer Hilton Honor point bonuses on a weekly basis.
  • Administer commission payments including PO submittal, Group pickup audit, and creating appropriate invoices.
  • Utilize FastPay for processing commission and/or rebates.
  • Understand BEO creation and communication process to support sales managers and provide additional support between sales, catering, and banquets.
  • Order office supplies including marketing materials for the sales office as directed, following the correct approval process.
  • Assist other Sales personnel as needed and conduct other tasks, special assignments, or projects as directed by DOS.
