About The Position

Support the Sales team in obtaining customer satisfaction by performing clerical and administrative responsibilities.

Requirements

  • High School Diploma
  • Previous administrative or hotel experience preferred
  • Experience with Delphi and/or OnQ preferred
  • Solid Microsoft Office Suite computer skills
  • Must be able to convey information and ideas clearly, both oral and written.
  • Must work well in stressful, high-pressure situations.
  • Must be able to evaluate and select among alternative courses of action quickly and accurately.
  • Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be effective at listening to, understanding and clarifying concerns and issues raised by team members and guests.
  • Must have the ability to assimilate complex information, data, etc. from disparate sources and consider adjust or modify to meet the constraints of a particular need.
  • Must be able to prioritize departmental functions to meet due dates and deadlines.

Responsibilities

  • Answer incoming telephone calls completing a lead form for all inquiries and assist guest with questions, changes and special requests.
  • Ensure no leads are abandoned and all calls are returned within four hours and requests are communicated to appropriate departments.
  • Type all banquet event orders and convention resumes with appropriate cover letters by utilizing menu management.
  • Prepare all outgoing correspondence for mailing and file copies.
  • Maintain filing system according to SOP's.
  • File contracts and correspondence daily.
  • Attend sales meetings.
  • Produce and distribute detailed Group Resumes; lead pre-con and post-con meetings as needed.
  • Respond quickly to guest requests in a friendly manner.
  • Follows up to ensure guest satisfaction.
  • Comply with all company policies and procedures.
  • Complete other assignments as necessary.
