About The Position

The Sales Assistant will provide administrative and operational support to the sales and marketing team in support of the daily operation of the Sales and Marketing Department. The Sales Assistant will at times act as a liaison between sales management and other functional departments, customers, companies, vendors, and other contacts when appropriate under the guidance of management in relation to sales orders. a. Assists administratively in the daily operation of the sales department. b. Responsible for the onboarding/data entry of new customers into company systems. c. Provides assistance to the sales team with customer account set up or new item set up or changes. Manages credit app process (prior to documents being sent to accounting for review) Sets up new customers/customer cards in BC d. Responsible for entry of customer data, maintaining customer files and updating existing information. e. Responsible for maintaining basic knowledge of customer accounts in order to assist sales team with account management. f. Responsible for communicating verbally and electronically as needed with brokers, distributors, and customers under the direction of the sales team. g. Responsible for maintaining basic knowledge of contractual requirements and communicating verbally or electronically this information interdepartmentally as necessary to assist in the fulfillment of sales orders. h. Works with Order entry clerk as needed to enter orders as needed to accurately enter incoming orders or order changes and communicates with appropriate sales and production staff all necessary information related to sales orders, including sending confirmations. i. Communicate with production on questions regarding ordering availability. j. Responsible for arranging freight and delivery to customers. Responsible for maintaining relationships with freight carrier partners. Will be actively communicating with them on a regular basis. Reviewing/approving detention charges Approving/reviewing freight invoices k. Back-up assistance for maintaining and distributing price list information. l. Responsible for tradeshow process – registration, ordering equipment, etc. m. Responsible for managing and updating the “where to buy” store locator on our website n. Responsible for demos and the demo process (scheduling and coordinating with demo companies and customers) o. Responsible for Syndigo, 1Worldsync, and IX ONE product data portals. New items and regular maintenance. p. Responsible for export paperwork for each order as they ship out. q. Customer portal management r. Maintain tour/event calendars for the sales team s. Other duties as assigned

Requirements

  • Associate Degree is preferred, or equivalent work history.
  • Excellent computer skills required.
  • Proficiency with Microsoft products required, Word, Excel, Outlook and PowerPoint.
  • Strong accuracy and attention to detail.
  • Excellent communication skills, both oral and written.
  • Excellent organizational skills.
  • Proficiency with information management.
  • Problem analysis and problem-solving skills.
  • Ability to be an effective team member.
  • Performing duties with a sense of urgency.

  • Sit 70% of the time, Walk 20%, Stand 10%, Bend at waist 5 x per week, Walk up and down stairs 5x per week, lift 10 lbs. 2-3 times per week, lift up to 30 lbs. occasionally.
