About The Position

The Sales and Occupancy Tax Accountant is responsible for the accurate and timely preparation of sales and occupancy (transient/lodging) tax filings across a multi-unit hotel portfolio spanning multiple states and local jurisdictions. This role compiles supporting revenue and tax data from property management and accounting systems, prepares and files returns, and assembles documentation for state and local tax audits. This is a detail-intensive, deadline-driven role suited to someone comfortable navigating varied jurisdictional rules and maintaining organized, audit-ready records across a large multi-entity portfolio.

Requirements

  • Bachelor's degree in Accounting, Finance, or related field (or equivalent experience).
  • 1–3 years of accounting or tax experience, ideally in hospitality, multi-unit retail, or another multi-jurisdiction environment.
  • Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, reconciliation workbook design).
  • High attention to detail with the ability to manage recurring deadlines across many jurisdictions and properties.
  • Strong organizational skills and comfort maintaining well-documented, audit-ready records.

Nice To Haves

  • Experience with sales, use, or transient occupancy/lodging tax filings across multiple states.
  • Experience with hotel PMS systems (e.g., Opera, Otelier) and understanding of USALI revenue categories.
  • Experience with Sage Intacct or a comparable multi-entity ERP.
  • Exposure to FloQast or other close-management software.
  • Experience supporting state or local tax audits.
  • Prior experience in a multi-property or multi-entity hospitality, restaurant, or retail environment.

Responsibilities

  • Prepare and file monthly, quarterly, and annual sales, use, and occupancy/transient lodging tax returns across all applicable states, counties, and municipalities in the portfolio.
  • Compile and reconcile taxable revenue data by property and jurisdiction from PMS and general ledger sources (Sage Intacct) to support accurate filings.
  • Maintain a jurisdiction-by-property filing calendar, tracking due dates, rates, exemptions, and registration requirements across the portfolio.
  • Reconcile tax accrual and payable accounts each month as part of the close process; research and resolve variances between filed amounts and GL balances.
  • Prepare and organize documentation and workpapers for state and local sales/occupancy tax audits, including revenue support, exemption certificates, and prior filings.
  • Serve as a primary point of contact during audits, responding to auditor information requests and coordinating with property teams as needed.
  • Monitor changes in state and local tax rates, rules, and nexus requirements, and update filing procedures accordingly.
  • Track and process tax notices, assessments, and refund claims; escalate significant exposure items to the Chief Accounting Officer.
  • Support new property onboarding by registering entities with the appropriate state and local tax authorities.
  • Assist with month-end and year-end close tasks related to tax accounts, including FloQast checklist items.
  • Identify opportunities to streamline data collection and improve consistency of tax filing processes across the portfolio.
