About The Position

DELO LLC is seeking a Sales Administrative Assistant to provide comprehensive administrative support to the President and Sales Team. This role involves managing calendars, coordinating travel, and preparing presentations. The assistant will also process expense reports using SAP Concur, handle special projects, and plan/organize sales meetings, trade shows, seminars, and conferences. A key aspect of the role is serving as the first point of contact for communications, ensuring exceptional customer service, and facilitating cross-cultural communication with international teams. The position requires managing documents and data using tools like Jira and Confluence, monitoring US regulatory compliance, and managing vendor relationships to support process optimization with HQ.

Requirements

  • Located in or near the Greater Boston, MA area.
  • Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Minimum 5 years of experience in sales administration or small office management.
  • Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint).
  • Hands-on experience with AI tools to enhance and streamline work processes.
  • Strong business writing skills for correspondence, meeting minutes, and reports.
  • Intercultural competence and enthusiasm for working with international teams.
  • Proven experience with CRM and ERP systems.
  • Excellent communication, organizational, and customer service skills.

Responsibilities

  • Provide comprehensive administrative support to the DELO LLC President and Sales Team, including calendar management, travel coordination, and preparation of presentations.
  • Process and manage expense reports using SAP Concur.
  • Handle special projects as assigned.
  • Plan, organize, and follow up on sales meetings, trade shows, seminars, and conferences.
  • Serve as the first point of contact for incoming communications (phone, email, mail), delivering exceptional customer service at all times.
  • Facilitate effective cross-cultural communication and collaboration with international teams.
  • Create, manage, and maintain documents and data using tools such as Jira, Confluence, and other internal platforms.
  • Monitor US regulatory compliance requirements and report findings to German headquarters.
  • Manage vendor relationships and actively support process optimization initiatives in collaboration with HQ.
