About The Position

The Safety & Fleet Coordinator supports the company’s safety, fleet, and regulatory compliance programs. This position is responsible for maintaining accurate vehicle and driver records, coordinating vehicle maintenance, monitoring driver performance, and supporting workers’ compensation and accident claims. The ideal candidate is highly organized, comfortable working within fleet-management systems, and able to communicate effectively with drivers, managers, service providers, and regulatory agencies. This role is primarily office-based at our Evansville location, with regular time in the shop, warehouse, and field, and occasional travel to Indianapolis or Louisville. Schedule flexibility may be needed to respond to vehicle, accident, or compliance needs.

Requirements

Experience in fleet coordination, safety administration, transportation, workers’ compensation, insurance claims, or a related field preferred.
Familiarity with workers’ compensation claims and documentation.
Experience maintaining detailed records within a fleet-management, telematics, HR, or similar electronic system.
Strong safety and compliance awareness; understanding of DOT, CDL, driver qualification, registration, and apportioned-plate requirements preferred.
Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
Strong organization, recordkeeping, and time management; detail-oriented.
Proven follow-through and accountability in managing multiple deadlines, renewals, and follow-up items.
Strong written and verbal communication and problem-solving skills.
Sound judgment with confidential employee, medical, and claims information.
Ability to work independently and collaboratively with drivers and managers.
Valid driver’s license and an acceptable driving record.
Willingness to travel occasionally to Indianapolis and Louisville locations.

Responsibilities

Maintain vehicle, driver, and fleet records and the master fleet list, including assignments, locations, status, mileage, and registration details.
Coordinate installation, replacement, and removal of vehicle tracking devices.
Coordinate preventive maintenance and follow up on open repairs.
Manage vehicle registrations, standard and apportioned plates, and renewals.
Issue, replace, cancel, and maintain vehicle fuel cards.
Assist with vehicle additions, transfers, assignments, and removals.
Monitor driver behavior in the fleet-management system, including speeding, harsh braking, rapid acceleration, and distracted driving.
Report identified driving concerns to appropriate managers.
Coordinate accident-prevention training, safety meetings, and coaching.
Maintain driver records and track required documents and expiration dates.
Track compliance with DOT physical examination requirements.
Maintain CDL driver qualification and compliance records, as applicable.
Assist with DOT filings, renewals, documentation, and recordkeeping.
Keep fleet and driver records current, complete, and audit-ready.
Report, document, and administer vehicle accidents and workplace injuries.
Support workers’ compensation claims by gathering incident information, submitting documentation, and maintaining claim records.
Communicate with employees, managers, insurance representatives, medical providers, and other involved parties as needed.
Track open claims, work status, restrictions, appointments, and follow-ups.
Maintain organized and confidential accident, injury, and claims files.
Identify trends that indicate a need for more training or corrective action.
Coordinate and document safety meetings and accident-related training.
Assist with the preparation and distribution of safety communications, reminders, and training materials.
Track attendance and records for completed safety and driver training.
Support broader company safety initiatives and projects as assigned.
Assist with tracking company tools and equipment, including check-in, check-out, assignment, and inventory records, as time permits.
Provide occasional delivery or transportation support as needed.
Travel periodically to Indianapolis and/or Louisville to inspect vehicles, update records, coordinate maintenance, install or manage tracking devices, or support other fleet-related activities.
Perform other safety, fleet, and compliance duties as assigned.
