About The Position

Encore is seeking a detail-oriented and proactive Safety & Fleet Administrative Assistant to support our safety and fleet initiatives across the organization. In this office-based role, you will work closely with the Safety and Fleet team to help maintain compliance, support training efforts, manage documentation, and assist with fleet-related administration. This role plays a key part in helping ensure a safe working environment and an efficient, well-managed vehicle fleet.

Nice To Haves

  • Associate or Bachelor's degree in business, safety, operations, or related field preferred.
  • Prior experience supporting safety, compliance, or fleet-related programs.
  • Experience with data tracking, reporting, or administrative systems.
  • Familiarity with DOT requirements or vehicle fleet administration.
  • A strong sense of ownership and follow-through.

Responsibilities

  • Collaborate safety training content/requirements.
  • Aid with safety training implementation, tracking, and reporting.
  • Collaborate with accident/injury management.
  • Support the preparation and maintenance of safety documentation, including reports, manuals, and training materials.
  • Assist with completing safety prequalification documents.
  • Facilitate tracking of driver complaints.
  • Maintain accurate records of fleet vehicles, including registration, insurance, and maintenance logs.
  • Vehicles registration renewals/Ins card distribution.
  • Vehicle DOT (Department of Transportation) requirements.
  • Enterprise Fleet Management System.
  • Review the general fleet mail and inbox.
  • Help monitor compliance with safety regulations and internal policies.
  • Assist in conducting safety audits and inspections, documenting findings, and recommendations.
  • Support the development and delivery of safety training programs for employees.
  • Assist in the development and implementation of strategies to optimize fleet performance and efficiency.
  • Assist in monitoring fuel usage and vehicle performance.
  • Aid in vehicle procurement, disposal, and asset tracking.
  • Compile and analyze data related to fleet operations to identify areas for improvement.
  • Function as a liaison between Encore locations and departments regarding safety and fleet matters.
  • Respond to inquiries related to safety procedures and fleet operations.
  • Prepare and distribute communications regarding safety updates and fleet information.
  • Assist in preparation of regular reports on fleet performance and safety metrics.
  • Prepare fuel reports and report opportunities for further analysis.
