About The Position

The Release of Information (ROI) Specialist is responsible for processing incoming requests for patient health information from patients, attorneys, insurance carriers, government agencies, and other authorized requestors. This role ensures every disclosure is accurate, complete, and compliant with HIPAA, state privacy law, and client-facility policy, while meeting productivity and turnaround-time standards.

Requirements

  • High school diploma or equivalent required
  • Minimum 1 year of experience in medical records, health information management, or a healthcare office setting required
  • Working knowledge of HIPAA privacy rules and release-of-information regulations.
  • Familiarity with electronic health record (EHR) systems and medical terminology.
  • Strong attention to detail and accuracy under production deadlines.
  • Effective written and verbal communication skills.
  • Ability to manage a high-volume queue and prioritize competing requests.
  • Proficiency with standard office and document-management software.

Nice To Haves

  • Associate degree or healthcare/medical office certification preferred
  • Prior release-of-information or HIPAA-regulated disclosure experience preferred

Responsibilities

  • Receive, log, and validate incoming records requests, confirming requestor identity and authorization for release.
  • Review authorizations and subpoenas for completeness and legal sufficiency prior to processing.
  • Retrieve requested records from client electronic health record (EHR) and legacy systems.
  • Apply appropriate redactions for state and federally protected information (e.g., substance use, mental health, HIV status, minors) per applicable regulation.
  • Compile, quality-check, and release completed record sets through the assigned ROI processing platform within required turnaround-time windows.
  • Communicate professionally with requestors regarding status, missing information, or fee inquiries.
  • Accurately document all request activity, invoicing detail, and disclosure accounting in the system of record.
  • Identify and escalate unusual, incomplete, or potentially fraudulent requests to the Team Lead or Compliance.
  • Meet or exceed established daily productivity and quality benchmarks.
  • Maintain current knowledge of HIPAA, HITECH, and state-specific release-of-information requirements.
