About The Position

This position serves as an office receptionist, handling telephone calls, greeting and directing visitors. The role involves maintaining office files and records, including correspondence, documents, and reports. A key responsibility is assisting in the creation of specialized automated work requests based on public input regarding the Bay County Road System's maintenance and construction. The technician will process these work requests through an automated system, updating their status in CarteGraph Navigator, and manage SunShine One-Call compliance for utility locates via IrthNet. The role also includes generating printed reports from database queries, assisting the public with driveway permit requests (including receiving payments and issuing receipts), and creating various weekly, monthly, or daily reports related to injuries, safety, inmates, pipe construction, vacuum trucks, and newsletters. Additionally, the position involves maintaining payroll, sick leave, annual leave, and FMLA records in accordance with County policy, and assisting with the preparation of evaluations, Personal Development Plans, warning letters, Personnel Requisition, and Personnel Change forms. The technician will also aid in the proper reporting procedures for injured workers by processing First Report of Injury & Wage Statements and assisting with the County Work Release Program documentation and monitoring temporary employees' data for reporting. The employer reserves the right to add or change duties as needed.

Requirements

  • Possess a high school diploma or the equivalent.
  • Four (4) years’ experience in responsible administrative and technical responsibilities relating to the field, supplemented by courses in administrative training or business administration.
  • A comparable amount of training and/or experience may be substituted for the minimum qualifications.
  • Possession of or ability to obtain and maintain a valid Florida driver license upon offer of employment with a driving record acceptable to the County Driving Policy and insurance program.
  • Knowledge of business English, spelling, punctuation, and arithmetic.
  • Knowledge of modern office practices and procedures.
  • Skill in extensive computer usage including CarteGraph, IrthNet, data bases, spreadsheets, word processing and related software.
  • Proficient in MS Word, Excel, and Outlook.
  • Knowledge of project management and organizational skills.
  • Ability to have excellent oral and written communication skills.
  • Ability to work and maintain reliable full-time attendance.
  • Ability to comprehend, speak, and read the English language.
  • Ability to have and maintain good interpersonal and communication skills to deal with the public.
  • Ability to work independently on complex and confidential tasks.
  • Ability to compose effective and accurate correspondence and to deal with non-routine matters such as assigning, receiving and completing complex work without recourse to a superior.
  • Ability to type from a draft or plain copy rapidly and accurately.
  • Ability to deal in an effective and courteous manner and to establish and maintain effective working relationships with superiors, employees, other organizations and the general public.

Responsibilities

  • Serves as office receptionist, answering telephones, greeting, announcing, and routing visitors.

  • Processes all work requests through an automated work order system and updates closing status by entering all related information into CarteGraph Navigator.
  • Performs SunShine One-Call compliance for utility locates through IrthNet.
  • Provides printed reports from database queries as requested.
  • Assists the public in processing driveway permit requests, receiving money, and issuing receipts.
  • Creates weekly, monthly, or daily reports for injury, safety, inmates, pipe construction, vacuum truck, and newsletter.
  • Maintains payroll, sick leave, annual leave, and FMLA in compliance with County policy.
