About The Position

The RFP Specialist will lead the development, coordination, and preparation of high‑quality responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and related solicitations issued by public and private entities. This role requires exceptional writing, organization, and project‑management skills, along with the ability to translate Hardwick Law’s experience, capabilities, and value into compelling, tailored proposal responses. The successful candidate will analyze RFP requirements, collaborate with attorneys, paralegals, and staff, and produce customized, compliant, and persuasive submissions that reflect the firm’s strengths and relevant experience.

Requirements

  • Bachelor’s degree in English, Communications, Business, Public Administration, or related field (or equivalent experience).
  • Prior experience preparing proposals, RFP responses, or grant applications—legal industry experience strongly preferred.
  • Exceptional writing, editing, and proofreading skills with strong attention to detail.
  • Ability to analyze complex RFP documents and translate requirements into actionable tasks.
  • Strong project‑management skills, including the ability to manage multiple deadlines simultaneously.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and document‑management tools.
  • Ability to work collaboratively with attorneys and staff at all levels.
  • Highly organized, self‑directed, and comfortable working in a fast‑paced environment.

Nice To Haves

  • Experience with government procurement processes (state agencies, municipalities, or federal).
  • Familiarity with legal terminology and law‑firm operations.
  • Experience developing capability statements, past‑performance summaries, and technical narratives.
  • Ability to create visually appealing proposal layouts or coordinate with design resources.

Responsibilities

  • Review, interpret, and summarize RFPs, RFQs, and bid solicitations from state agencies and other public/private entities.
  • Manage the full proposal lifecycle or contribute to content development.
  • Develop proposal outlines, compliance matrices, and response plans to ensure all requirements are met.
  • Draft, edit, and refine narrative responses that clearly address each question or evaluation criterion.
  • Tailor proposal content to highlight the relevant experience, qualifications, and accomplishments of attorneys, paralegals, and staff.
  • Coordinate with internal stakeholders to gather information, resumes, case summaries, and supporting documentation.
  • Maintain and update a library of standard proposal content, attorney bios, and firm qualifications.
  • Ensure all submissions are accurate, complete, and delivered on time.
  • Track deadlines, manage calendars, and maintain organized proposal files.
  • Monitor procurement portals for new opportunities and assist in bid/no‑bid recommendations.
  • Support continuous improvement of proposal processes, templates, and content.
