About The Position

Maplewood Senior Living, a leading operator of premier senior living communities, is seeking an experienced Revenue Specialist to support the full revenue, accounts receivable, and collections lifecycle for resident accounts across their 18 locations. This role is crucial for ensuring accurate billing, timely collections, and providing strong customer service. The Revenue Specialist will be involved in the day-to-day execution of the billing cycle, including monthly billing, ancillary charges, resident account ledgers, payment posting, account reconciliation, and month-end close activities. This position will collaborate with Executive Directors and the Controllership team, acting as the primary contact for billing inquiries, follow-ups on past-due balances, and handling long-term care insurance documentation. Prior experience in senior living, assisted living, or residential housing is highly advantageous, as familiarity with resident billing cycles and payer sources will enable the successful candidate to contribute effectively from the outset.

Requirements

  • 3+ years of relevant experience in billing and/or collections.
  • Demonstrated ability to handle sensitive financial conversations with professionalism, empathy, and tact.
  • Strong organizational skills and attention to detail, with the ability to manage multiple accounts and deadlines simultaneously.
  • Proficiency with billing/AR software and standard office applications (e.g., Excel).
  • Clear written and verbal communication skills.
  • Experience in senior living, assisted living, skilled nursing, or residential housing.
  • Familiarity with long-term care insurance claims and documentation.
  • Understanding of multiple payer sources and resident billing cycles.
  • Experience with Yardi, or similar ERPs.

Responsibilities

  • Support the recurring monthly resident billing process across 18 locations, ensuring accuracy of rates, fees, credits, adjustments, and other charges.
  • Review, calculate, and process ancillary charges monthly, including care-related services, medication management, transportation, and guest meals.
  • Assist with month-end close activities, including processing move-ins/outs, reviewing resident census, level-of-care changes, rate changes, concessions, and other account activity.
  • Serve as a knowledgeable and patient resource for billing questions from residents, families, responsible parties, and internal staff, explaining charges, statements, and payment options.
  • Conduct proactive, professional outreach on late and past-due payments to resolve balances while maintaining positive relationships.
  • Manage aged and delinquent accounts through resolution, including payment plan setup, escalation, documentation, and coordination with third-party collections or legal counsel.
  • Prepare, submit, and track long-term care (LTC) insurance claims and supporting documentation, following up with carriers for timely reimbursement.
  • Reconcile accounts, accurately apply payments and adjustments, and maintain thorough records of collection activity and communications.
  • Monitor AR aging, flag at-risk accounts, and provide regular status updates to management on collections performance and outstanding balances.
  • Partner with Executive Directors and finance teams to resolve discrepancies and ensure billing accuracy.
