About The Position

Gatekeeper is seeking a detail-oriented Revenue Operations Specialist to ensure the smooth day-to-day operation of our go-to-market engine. This role involves hands-on management of our HubSpot instance and serving as the operational backbone for our Deal Desk. The specialist will be responsible for maintaining CRM data integrity, ensuring workflows function correctly, and facilitating the swift and accurate approval of all quotes and deals. This is a foundational position within a growing RevOps function, reporting to the VP of Finance. It is ideal for an individual early in their RevOps, Sales Ops, or CRM administration career who is eager for broad exposure to systems, processes, and the complete quote-to-close cycle, with the potential to grow into more strategic responsibilities as the team expands.

Requirements

  • 1–2 years in Revenue Operations, Sales Operations, Marketing Operations, CRM administration, or a Deal Desk/sales-support role (recent graduates with relevant internship or project experience are also encouraged to apply).
  • Hands-on experience with HubSpot (or a comparable CRM such as Salesforce), including building or troubleshooting workflows and reports.
  • Solid grasp of CRM data models; objects, properties, and relationships, with a genuine passion for data accuracy.
  • Strong attention to detail and comfort working with quotes, numbers, and structured processes.
  • Clear written and verbal communication, and the ability to work collaboratively across multiple areas of the business.
  • Well-organized, able to manage multiple deals and requests in a fast-moving environment.
  • Comfortable with spreadsheets, documentation, and basic reporting.

Nice To Haves

  • HubSpot certification(s) (e.g., Revenue Operations, Sales Hub, Reporting).
  • Exposure to a Deal Desk, quoting/CPQ tooling, or approval-workflow processes.
  • Familiarity with basic pricing, discounting, or contract terms and how they affect a deal.
  • Experience with revenue-intelligence or reporting tools (e.g., Gong, Clari, Looker, Tableau).
  • Understanding of B2B sales processes and the lead-to-cash lifecycle.
  • Bachelor's degree in Business, Finance, Marketing, or a related field (or equivalent practical experience).

Responsibilities

  • Serve as the day-to-day administrator of the HubSpot instance, managing users, permissions, properties, pipelines, and deal stages.
  • Own CRM data hygiene, ensuring contact, company, and deal records are accurate and complete, and performing regular clean-up and de-duplication for trustworthy reporting.
  • Build, maintain, and troubleshoot workflows, automations, lead routing, and lead scoring.
  • Create and maintain dashboards and reports for Sales, customer-facing teams, and leadership, covering pipeline, conversion, deal velocity, and activity.
  • Support CRM adoption by writing short how-to documentation and assisting reps in using the system correctly and consistently.
  • Assist in maintaining integrations between HubSpot and the broader GTM tool stack, identifying and flagging sync issues before they impact data.
  • Generate, validate, and process quotes, ensuring accuracy, completeness, and correct required fields to minimize downstream errors and rework.
  • Route deals through the approval workflow, consistently applying pricing and discount policies and escalating non-standard requests to the appropriate approver.
  • Track deals in progress and ensure quote cycle times are met, adhering to agreed turnaround/SLA expectations.
  • Act as the primary point of contact for reps' quoting and deal-process inquiries, offering guidance on standard terms and structure, with support for non-standard requests.
  • Coordinate with Sales, Finance, and Legal teams to ensure deals progress smoothly from quote to closed-won.
  • Maintain deal desk templates, approval matrices, and process documentation to ensure consistency and auditability.
  • Identify recurring issues in CRM and deal workflows and propose solutions.
  • Support ongoing RevOps initiatives, including pipeline clean-ups, process rollouts, and improvements to sales and reporting processes.
