About The Position

The fiscal and finance office at the Massachusetts Department of Environmental Protection (MassDEP) plays a vital role in supporting the agency's mission to protect the environment. This includes Budget Management and Allocation, Financial Reporting and Compliance, Revenue Collection and Grant Management Oversight, Procurement and Contract Management, Financial Planning and Analysis, Internal Support and Collaboration, and Key Fiscal Stakeholder Collaborations. The Finance/Revenue department within MassDEP ensures the accuracy and efficiency of operations, processing and monitoring incoming payments, and securing revenue by verifying and posting receipts. This internship will aid in the processing of account receivables for the following departments – LSP (Licensed Site Professional - Licensed by the Massachusetts Board of Registration of Hazardous Waste Site Cleanup Professionals), TURA (Toxic Use Reduction Act – Requires Mass companies that use large quantities of specific toxic chemicals to evaluate their operations, plan for pollution prevention, and report the results each year), Climate Mitigation Trust (Reducing Climate Change – Involves reducing the flow of heat-trapping greenhouse gases into the atmosphere), and Mercury Management Trust (Bans the sale of specific products containing mercury, prohibits disposal of mercury in trash and wastewater, and more).

Responsibilities

  • Assist in processing accounts receivable for programs including LSP, TURA, Climate Mitigation Trust, and Mercury Management Trust.
  • Support payment collection activities, including verifying, posting, and monitoring incoming receipts.
  • Reconcile financial records using the MOSAIC system to ensure accuracy and completeness.
  • Communicate with customers and internal Bureau of Air and Waste (BAW) programs regarding payments and general inquiries.
  • Gather and verify invoices for accuracy and proper documentation.
  • Prepare invoices and supporting materials for scanning, mailing, and recordkeeping.
  • Assist in issuing past-due notices and collection letters.
  • Maintain organized financial records in compliance with MassDEP policies and procedures.
  • Uphold confidentiality and exercise sound judgment when handling sensitive financial information.
  • Provide general administrative and operational support to the Finance/Revenue team as needed.
