The Revenue Cycle Assistant Manager is responsible for managing the PSRI and Family Medicine PSR II teams under the direction of the Revenue Cycle Manager. This role bridges administrative revenue management with direct customer service, requiring strong coordination between departments.

Requirements

  • Bachelor’s Degree or Associate’s Degree in Accounting, Finance or related field preferred. Equivalent combination of education and work experience considered.
  • Minimum of five years’ experience in a healthcare front office setting.
  • Advanced skills in MS Word, Excel, and Outlook required.
  • Proficiency in practice management software required.
  • Excellent customer service and organizational skills required.
  • Detail-oriented with ability to multi-task and meet deadlines.
  • Proven competency in written and verbal communication skills.
  • Ability to work independently and effectively in a fast-paced environment.
  • Demonstrated proficiency in navigating interactions with diverse groups of individuals.

Responsibilities

  • Provides day-to-day functional leadership and supervision of the Patient Services Representative I (PSRI) and Family Medicine Patient Services Representative II (PSRII) staff which includes but is not limited to: Goal setting, training, monitoring progress and providing feedback.
  • Sets clear expectations, monitors performance, and holds employees accountable to established goals and standards.
  • Monitors productivity, quality, and key performance indicators; implements improvements.
  • Conducts coaching, feedback, and performance evaluations to support employee development.
  • Assists PSRI and PSRII supervisors with annual performance evaluations.
  • Maintains robust documentation of PSRI and PSRII processes and procedures.
  • Partners with Human Resources to address employee relations issues, including conflict resolution, corrective action, and policy interpretation.
  • Communicates effectively with staff, leadership, and cross-functional teams to ensure alignment and information flow.
  • Partners with Human Resources to recruit, interview, hire, coach, mentor, discipline and terminate department staff members as needed.
  • Conducts root cause analysis for complex registration and call center issues, resolves problems, and provides guidance to prevent future issues.
  • Manages miscellaneous projects related to customer service and patient satisfaction.
  • Assists clients, site staff and management with registration and scheduling issues.
  • Stays current with updates with practice management systems to ensure automation is an integral part of the success of the patient’s experience.
  • Supports the Revenue Cycle Manager with special projects and workflow process improvements.
  • Collaborates with other department managers and staff to support overall department goals and objectives.
  • Supports and reinforces a positive, inclusive, and respectful workplace culture.
  • Ensures compliance with organizational policies, procedures, and applicable laws and regulations.
  • Provides an example of accountability by following all Aviva Health policies and procedures.
  • Travels for business using a company or personal vehicle.
