About The Position

This position plays a critical role within the health system’s revenue cycle operations by ensuring accurate and timely coordination of administrative tasks. This position supports various revenue cycle functions, including managing incoming and outgoing mail, scanning and indexing documents, and maintaining organized and efficient workflows. The ideal candidate will be detail-oriented, organized, and able to work both independently and collaboratively in a fast-paced environment. This position is vital in ensuring the seamless operation of the health system’s revenue cycle, contributing to various departments’ business needs and how they receive key information. This is a full-time, in-office position. Remote or hybrid schedule is not available due to onsite business needs.

Responsibilities

  • Retrieve, sort, and distribute incoming mail and packages to appropriate departments or individuals.
  • Prepare outgoing mail, including interoffice, external USPS, or specialty delivery such as UPS or FedEx.
  • Monitor and track mail to ensure timely delivery and receipt, upon request.
  • Assist with troubleshooting any Returned Mail, whether physical or via electronically/via lockbox; this may involve placing a flag on guarantor account in respective electronic health record or researching for viable correct address.
  • Scan and index documents into electronic document management systems, such as OnBase or Epic, according to department guidelines.
  • Review scanned documents received via bank lockbox to ensure accurate identification and appropriate indexing; assist with routing to the correct Revenue Cycle team based on document content.
  • Verify accuracy and completeness of scanned documents and data entries.
  • Retrieve and file physical and electronic records as needed.
  • Maintain confidentiality and comply with privacy regulations, such as HIPAA, when handling sensitive information.
  • Assist with organizing and maintaining records, files, and documentation (paper or electronic) in compliance with organizational policies.
  • Perform data entry and ensure accurate record-keeping.
  • Assist with any archiving projects the department may require, whether electronic or paper.
