About The Position

This is highly complex and technical work in the analysis of retirement accounts. The incumbent exercises considerable independent judgment under the general supervision of the bureau chief. The incumbent must possess a comprehensive working knowledge and understanding of the philosophy and provisions of Florida Statutes relating to retirement, which may include Chapters 112, 121, 122, 123, 238, 250, 321, 175, and 185 and all administrative rules, policies, and procedures developed pursuant to such laws. The incumbent may also be required to possess a comprehensive working knowledge and understanding of the Internal Revenue Service (IRS) and Social Security Administration provisions relating to retirement programs.

  • Four years of professional experience in the area of insurance, retirement or social security, administration, call center, customer service, fiscal work, statistics, or personnel.
  • A postsecondary degree may be used as an alternative for years of experience on a year-for-year basis.
  • Professional experience in the areas described or any combination of the above, can substitute on a year-for-year basis for the required college education.

Responsibilities

  • Be knowledgeable of all bureau processes and associated screens (including website).
  • Assist with and coordinate requests for Integrated Retirement Information System (IRIS) or website corrections and enhancements.
  • Prepare and assist bureau sections with preparing System Investigative Report (SIR) documents to alert contracted systems consultants that problems exist, or to request system enhancements to IRIS or website screens.
  • Assist each section with testing corrections or enhancements to IRIS or website, including coordinating testing with staff from other division areas for cross functional SIRs. Responsible for ensuring each SIR is thoroughly tested before changes are implemented to ensure data integrity.
  • Track and monitor all stages of bureau’s SIR projects.
  • Provide user assistance for navigating IRIS/workflow screens and identifying interface problems.
  • Coordinate reporting the bureau’s IRIS and/or workflow problems to contracted systems consultants and ensure timely and effective resolutions.
  • Serve as liaison between the sections within the bureau, other division functional areas, and contracted systems consultants on cross-functional issues.
  • Coordinate and act as bureau liaison for the Member Annual Statement (MAS) project.
  • Coordinate all stages of the outgoing correspondence to our external customers (approximately 100,000 annually for the bureau). Includes updating and/or creating new correspondence and standard comments.
  • Coordinate the bureau changes/additions to the Knowledge Base.
  • Assist with all aspects of the bureau’s administration of Investment Plan provisions.
  • Develop educational materials and procedures to be used for training and coordinate training initiatives.
  • Update and maintain bureau’s training SharePoint site.
  • Review web user reports daily to proactively identify accounts that need additional review.
  • Determine which reviewed web user accounts need customer service follow up and/or an administrative block to FRS Online access.
  • Contact payees or members for additional information, as needed.
  • Follow up customer-initiated complaints about possible unauthorized access to their FRS Online (web account). Examples include customers calling about letters they received notifying them of changes to direct deposit information, FRS Online account information, or address changes.
  • Follow up and monitor individual accounts being reviewed and report to division management team as required.
  • Coordinate special projects for the Bureau of Retirement Calculations and division management team.
  • Generate, disseminate and follow-up on monthly retirement report.
  • Conduct audits for past service upon finalization of agency join(s).
  • Performs other related duties and assignments as required.
