About The Position

New Balance is seeking a Retail Administrative Assistant to provide comprehensive administrative support to key retail leadership roles, including the VP of Retail, Director of NB Owned Stores, and Senior General Merchandising Manager. This role involves managing correspondence, travel arrangements, expense reports, purchase orders, office supplies, and catering. The assistant will handle confidential information, coordinate meetings and events, and utilize computer skills for presentation creation, often under tight deadlines. The position is 30 hours per week.

Requirements

  • Associate’s degree
  • Minimum of 2 years of related experience as an administrative assistant
  • Experience event planning and/or retail store openings is a plus
  • Strong project management skills
  • Superior communication skills, both written and verbal
  • Excellent computer skills—Microsoft Office, Adobe
  • Ability to interact confidently with all levels of senior management and internal and external customers.

Responsibilities

  • Prepare correspondence, reports, manuals, and presentations using Word, Excel, PowerPoint, and Diver.
  • Maintain confidential documents, files, and legal customer agreements.
  • Edit documents, schedule meetings, process expense reports, and track PTO.
  • Assist with special projects as needed.
  • Make travel arrangements and coordinate logistics for off-site meetings.
  • Interface with senior management, internal, and external customers regularly.
  • Coordinate and lead logistical planning for the annual Managers Meeting.
  • Plan Grand Openings for new retail stores, including travel planning and ensuring new stores have necessary supplies and kits.
  • Collaborate with facilities, IT, Loss Prevention, cross-functional teams, and other department administrative assistants.
  • Plan and execute internal and external meetings/events, including room setup, catering, and other requirements.
