About The Position

Korn Ferry is seeking a Resource Coordinator to join our centrally managed professional resourcing team. This is a 6-month assignment with the possibility of extension. Resource Coordinators (RCs) will work closely with the Firm’s internal consulting population across our core solution areas to staff and schedule talent for clients and to optimize resource deployment. As an RC, you’ll staff and schedule consultants from Analyst to Senior Client Partner level to deliver client work. Working within our Korn Ferry TalentFinder resource management system, you’ll match resource requests from our clients with available consultants who have the right skills and qualifications. You will also support large-scale projects with high volume scheduling across a variety of solutions. The role requires a blend of following complicated multi-step processes, ability to see creative solutions and problem solving in a fast-paced, project-driven environment. Our Resource Management function operates as a cohesive and global team providing a strong, engaged and supportive professional resourcing network. Requirements

  • Bachelor’s degree or equivalent additional experience
  • 2+ years of logistics coordination/event planning/staffing experience, especially calendar management of multiple people in remote locations
  • High attention to detail
  • Strong customer service focus
  • Ability to be adaptable and manage stress in a fast-paced, ambiguous environment
  • Ability to build and foster relationships with cross-functional and remote teams, at all levels of the organization, both internally and externally
  • Ability to influence without authority
  • Advanced proficiency in the Microsoft Office suite (including Outlook, Excel, and Access) with the ability to quickly learn new systems

Responsibilities

  • For each new assignment, understand the need fully in the context of the client and solution.
  • Manage the end-to-end scheduling process for participants who will be interacting with Korn Ferry consultants. This includes identifying dates, securing times, establishing the meetings with audio- or video-conferencing technology, and incorporating relevant participant information for the meeting.
  • Prepare proactively for re-scheduling contingencies.
  • Schedule and respond to participants within standard service level agreements (SLAs).
  • Use agreed upon client templates for communication where available otherwise communicate in clear, business appropriate language.
  • Orchestrate scheduling for projects with large groups of participants and multiple steps within tight timeframes.
  • Implement trackers to monitor progress and report status.
  • Leverage multiple technologies for scheduling, as needed for each individual project.
  • Assure other functions within the business have all information needed to interact successfully with the scheduled participants.
  • Maintain a customer-centric, “outside in” frame of mind, assuring a positive and seamless experience for the participant.
  • Manage client team expectations through appropriate information sharing and education.
  • Identify and match right-fit talent from Korn Ferry’s resource pool to the appropriate work assignments. Right-fit includes having the appropriate training and qualifications, as well as having availability at the desired time.
  • Prioritize from among scarce resources and collaborate to adjust assignments where needed.
  • Work with delivery consultants to address schedule conflicts.
  • Connect with appropriate Resource Managers to gain insight into new consultants that work on the type of projects you schedule.
  • Understand the cost implications of different talent choices, and apply this knowledge to optimize profitability at the firm level rather than local level.
  • Understand the business levers for when and why to engage contingent workforce team members and become proficient in how to do so.
  • Appreciate fully the need to adapt staffing and scheduling approaches when working across different countries, time zones, and cultures.
  • Support onboarding of new consultants, educating them on scheduling practices, calendar etiquette, and how to benefit from Korn Ferry Talent Finder.
  • Follow all internal requirements including region specific requirements for accessing and/or storing personal identifying information.
  • Respond within 24 hrs. of the requests, or re-direct the request immediately.
  • Provide continuous education of colleagues around the scope of the Resource Analyst services and best way to engage the team.
  • Knowledge of project delivery cycles, billable hours, time entry, etc).
  • Awareness of utilization metrics and how scheduling decisions can affect the results of our consultants.
  • Continuous learning about Korn Ferry solutions and how they impact staffing and scheduling differently, as well as about our organizational matrix, markets, functions, and lines of business.
